Position Overview:

The Scheduling Coordinator at OrthoArkansas is essential in managing and coordinating the scheduling of procedures, surgeries, and diagnostic studies, ensuring a seamless patient experience. This role includes verifying insurance coverage, guiding patients on their procedure preparations, and serving as a vital communication link between patients, providers, and facilities.

Key Responsibilities:

1. Scheduling Coordination:

  • Coordinate and schedule procedures and surgeries once the clinic has obtained prior authorizations, referral information, and scheduled the surgery on the physician’s calendar.

2. Insurance Verification:

  • Verify insurance authorizations for all scheduled procedures, surgeries, and diagnostic studies, ensuring approvals are obtained prior to scheduling.
  • Communicate with the Clinic team as needed to confirm insurance coverage, promoting a smooth scheduling process.

3. Patient Communication and Support:

  • Address patient inquiries regarding procedures and surgeries, offering clear guidance and reassurance to ensure they feel informed and prepared.
  • Provide patients with detailed instructions on what to expect and any preparations required for their appointments.

4. Additional Duties:

  • Train as a backup for the front office check-in role, offering additional support when needed.
  • Perform other related duties as assigned to enhance the scheduling and coordination functions within the clinic.

Qualifications:

  • Education and Experience:
    • High school diploma or GED equivalent.
    • 12 to 18 months of relevant experience or training, or an equivalent combination of education and experience.
    • Strong attention to detail and adaptability to office routines.
  • Certificates, Licenses, Registrations:
    • Required: None.
    • Preferred: None indicated.
  • Skills and Abilities:
    • Strong organizational skills and attention to detail, with the ability to manage multiple schedules and patient appointments efficiently.
    • Excellent communication skills for interacting with patients, providers, and insurance representatives professionally.
    • Ability to accurately address patient questions and educate them on appointment details and expectations.

Software Skills:

  • Intermediate: Database management, word processing/typing.
  • Basic: 10-Key proficiency.
