Summary:


The Assistant Director of Conventions Services oversees the facilitation of group information throughout the hotel. He/she assists the Director of Convention Services to ensure the cultivation of Convention Services Managers to enhance staff development while providing outstanding customer service.

Responsibilities:


  • Manage daily operations of the convention service office.
  • Handle financials of the department.
  • Execute contracts.
  • Make decisions that impact the operations.
  • Assist and coach convention service/ catering manager.
  • Effectively plan, execute, see meetings and food and beverage through to the finish.
  • Negotiate catering food and beverages with clients.
  • Review and monitor banquet food and beverage revenue.
  • Delegate specific tasks.
  • Communicate with staff and the operating department.
  • Maintains file turnover process and assists in assigning group files based on customer needs and management availability.
  • Develops Conference Assistants to understand the policies and procedures of convention services and provide outstanding customer service.
  • Schedules Conference Assistants and manages their payroll.
  • Facilitates Daily BEO Meetings.
  • Handles larger and most prestigious groups. Communicates directly with the group/customer contact. Collects all pertinent information to facilitate a successful conference.
  • Works with the sales department manager as a partner and maintains open lines of communication.
  • Uses computer programs effectively —V1, Outlook, Word, and Excel.
  • as strong knowledge in food and beverage.
  • Is familiar with hotel Banquet Menus and knowledgeable of items on the menus.
  • Attends weekly departmental staff meetings, weekly group pick-up meetings, weekly hotel staff meetings, daily Banquet Event Order meetings, and other meetings as requested.
  • Coordinates one-on-one meetings with Convention Services Managers to coach and train for future development.
  • Participates in Annual Reviews for managers with Director of Convention Services and Director of Conference Management. Is available 24 hours to the meeting planner/group contact while the meeting planner/group contact is on site at the hotel.
  • Understands Fire Code Regulations throughout the hotel convention space.
  • Knows rigging capacities and allowable hanging locations.
  • Is knowledgeable of banner and sign permitted placement.
  • Understand how to calculate room capacities without use of diagrams.
  • Knows function space capacities, ceiling heights, floor weight restrictions, load-in and load-out areas and 'flow' of
  • Has extensive general knowledge of the hotel, its policies, and its services.
  • Reviews Group Resumes and Program Outlines for accuracy and consistency prior to distribution.

Experience/Qualifications:

  • 2 years related management experience.
  • 2 years related experience and/or training.
  • Ability to lift- up to 25 lbs. consistently and 50 lbs. infrequently
  • Must be able to legally work in the USA.

Education and Certification(s)/License(s):

  • A four-year college degree or equivalent experience
  • Certified Meeting Planner (CMP) preferred or previous similar training.
