Assists Office of Whole Child Supports leader in program direction by performing routine administrative tasks:

  • Researches and analyzes materials (e.g., reviews & summarizes operational, fiscal, &/or personnel policies & procedures; provides information to aid in decision-making);
  • Serves as liaison between Administrator & subordinates (e.g., initiates communications to resolve situations &/or problems; delegates assignments on behalf of Administrator to ensure timely completion of projects);
  • Serves as liaison with national, regional, local and agency representatives, legislators and staff; prepares confidential correspondence and communicates confidential decisions, directives, and/or assignments verbally or in written form; represents Administrator at meetings, conferences, and/or committees (e.g., takes notes, prepares meeting minutes);
  • Facilitates travel, hiring, scheduling as needed for office and Administrator;
  • Supports the upkeep of office standard procedures manual and communication of changes related to workspace, supplies, and agency procedures with office staff.

Manages business functions of office:

  • Maintains administrator’s schedule;
  • Plans and schedules meetings, conferences, and/or teleconferences (e.g., makes travel arrangements, takes notes and/or minutes of meetings that may be confidential);
  • Uses word processing equipment and software to create, revise, and/or delete confidential or non-confidential documents, reports, correspondence, and letters (e.g., formats, inputs, edits, copies, retrieves, transmits text, data, and/or graphics using Microsoft Office software);
  • Uses written text and/or grant abstracts to create support letters for grant applications (e.g., agencies, universities, organizations);
  • Monitors correspondence for timely response;
  • Monitors progress of time sensitive materials, special reports, and coordinates staff;
  • Maintains office records.

Performs customer service duties:

  • Researches and responds to inquiries & complaints;
  • Welcomes staff and stakeholders (e.g., greets in person or by telephone);
  • Answers and/or directs telephone and/or written inquiries to appropriate parties for response;
  • Furnishes information and explains programs to the public;
  • Prepares reports, publications, memos, and presentations for dissemination outside the work unit;
  • Works on special projects as assigned.
