Appointment Coordinator

The Appointment Coordinator will communicate availability and schedule service appointments by phone, email, and in person in a friendly, interested, and helpful manner. He or she sets the tone for our dealership's Service Department by being an outstanding listener and information source. The Coordinator will confirm scheduled appointments by contacting the customer one business day prior to the appointment date as well as track special order parts. In addition, he or she performs administrative duties and uses the shop loading system for this process. The Coordinator will be cross-trained for other service positions, including shuttle driver, porter, and assistant service advisor.
The ideal candidate has a high school diploma or GED and two years of experience in a dealership/automotive business in a position of similar responsibility in service interfacing with customers. Candidates must have a pleasant and courteous personality, strong administrative and organizational skills, strong phone and computer skills, and excellent communication and interpersonal skills. Automotive dealership experience and a working knowledge of automotive servicing/repair required. A clean DMV record is required.
Responsibilities
- Welcomes customers to the service department and assists them with their needs
- Makes appointments for customers in the shop loading system
- Receives all incoming customer calls for service appointments
- Coordinates questions and issues with the appropriate department personnel
- Handles customer complaints or escalates when necessary
- Provides administrative assistance as needed
- Demonstrates our values in every aspect of the job
- Cross-trains for all other service positions: shuttle driver, porter, and assistant service advisor
- Performs other duties as assigned
Qualifications
- Two years of automotive experience in a dealership
- Knowledge of automotive repair required
- Excellent communication, customer service, and problem solving skills, including the ability to maintain composure under stress
- Excellent telephone skills
- Strong organizational and time management skills
- Helpful attitude and friendly demeanor
- Highly professional and dependable
- Strong computer and internet skills, including Microsoft Office suite
- Valid CA driver's license with a clean DMV record
