POSITION OVERVIEW:

Title: Administrative Support Assistant

Job Summary
The Front Desk Coordinator is responsible for providing outstanding customer service with a positive attitude and a smile in a high-volume, fast –paced environment; managing incoming telephone calls, corporate inquiries, visitor traffic and team administrative duties. This position is critical to the high level of customer service that Nexus provides to all. This individual is the first person that any client or applicant will interact with. This position is responsible for providing the front face for Nexus as an organization.

Essential Job Functions

  • Provide initial point of contact for Nexus in a professional, cordial and efficient manner
  • Maintain professional image in dress, communications and behavior
  • Manage high-volume communications traffic via multi-line phone system and email
  • Manage high volume visitor traffic and deliveries in accordance with security guidelines
  • Greets visitors in a prompt, courteous, and professional manner
  • Accurately direct calls / messages to the appropriate person
  • Maintain visitor registration book and visitor badges
  • Provide authorized information to callers according to regulatory and HIPAA requirements
  • Administrative projects including communications, booking meetings, organizing information, spreadsheet maintenance and creation along with other administrative assistant projects
  • Be a ‘go to’ source of knowledge, information and assistance for Nexus Team Members in pointing them to the appropriate person within the company
  • Maintain confidentiality of sensitive information
  • Update, maintain contacts and additional online lists
  • Prepare, stock and set up meeting rooms, including food and drink orders, arrangements and services as needed
  • Clean and straighten meeting rooms after events as assigned
  • Restock Executive Suite Kitchen and refrigerator as well as all coffee bars in the operations area as assigned.
  • Ensure that reception area is clean and neat
  • Provides clerical and other duties as requested
  • Perform other duties as assigned

Knowledge and Abilities Requirements

  • Ability to use Microsoft products; Word, Excel, PowerPoint, Outlook
  • Basic office equipment experience required (copier, fax, shipping and receiving tools)
  • Written and verbal communication skills with a demonstrated ability to deliver excellent customer service
  • Ability to multi-task and quickly adapt in a fast paced environment
  • Strong organizational skills
  • Attention to detail

Education and Experience

  • High school diploma or equivalent
  • 3-5 years directly related experience as a receptionist in a professional, high call environment
