Position Summary
The Administrative Assistant is an active team member and participant in creating connections in the lives of the residents, team members and others. The Administrative Assistant is responsible for creating good first impressions upon greeting people in person, on the phone and electronically and directs all people entering and exiting community to use the visitor management system and wear name tags. The Administrative Assistant will seek the right team member to help others with their needs. The Administrative Assistant provides administrative support to the Business Office Manger and Executive Director as well as the leadership team and support to the community. The Administrative Assistant assists with data entry, keeps inventory of office supplies and submits order requests to Business Office Manager, assists with New Hire process including screening, onboarding, setting up and coordinating required training with new employees and their direct supervisors. The Administrative Assistant also assists with other tasks set forth by Business Office Manager or Executive Director.

As scheduled (not to exceed 40 hours in a work week). Administrative Assistant work hours generally are between the hours of 8:30 a.m. and 5:00 p.m.
Drug Testing
The Community desires a safe workplace and wants to help protect residents from drug related issues; therefore, the Community will test those positions that would have access to resident medications such as Administrator, Director of Health Services, Resident Care Coordinator, Memory Care Coordinator, Medication Assistants, Care Partners, Housekeepers, Director of Plant Maintenance

To perform other duties specified by the Community Executive Director or Business Office Manager, completing all assigned duties which may change from time to time according to resident's needs, staffing levels and working circumstances.
Physical Requirements
Sit for extended periods of time. Ability to walk throughout community occasionally to assist other team members or respond to resident requests. Visual and auditory acuity within normal limits. Bending, kneeling and occasionally reach above the shoulder level and carry up to 25 pounds. Ability to use keyboard and other office equipment.

Other Requirements
Exceptional verbal and written communication skills. English skills to allow communication with residents and staff; and to give and understand written and verbal instructions. Attention to detail and problem-solving skills. Must have compassion for the elderly and be self-motivated. Must be comfortable with technology and the use of various software programs.
Ability to multi-task, prioritize and have excellent time management skills. Excellent customer service skills. Office experience helpful. Excellent computer skills including a high degree of proficiency in Microsoft Word, Excel, Google and other applications.
Travel Requirements
Local Travel is required. Good driving history required.

- High school diploma or equivalent required
- Meet the assisted living requirements for criminal history screening
- Sincere interest in providing quality and innovative care for seniors
- Ability to understand the policies and procedures of the Community including emergency plans
- Follow mandatory reporting requirements and Resident Rights
- High degree of confidentiality
- Ability to work as part of a team
- Qualifications specific to New Mexico assisted living rules- shall
- Be at least 18 years of age;
- Have adequate education, relevant training, or experience to provide for the needs of the residents
- Comply with the pre-employment requirements pursuant to the Employee Abuse Registry
- Comply with the current requirement of reporting and investigating incidents pursuant to Incident Reporting, Intake Processing and Training Requirements
- If driving for company purposes, copies of a valid New Mexico driver's license with the appropriate classification for the vehicle that is used to transport residents and documentation of training in transportation safety for the elderly and disabled including safe vehicle operation, proof of insurance and documentation of a clean driving record
