The AST Health System’s Medical Materials Handler provides for an effective and efficient supply chain in support of patient care and services. This position within the health care facility handles all supplies needed for operations and patient services. Material Handler performs routine physical, computerized, and/or manual clerical work in ordering, receiving, storing, inventorying, filling and issuing supplies to assigned patient/non-patient care centers. Inventories, delivers, and replenishes medical/surgical supplies to various clinical areas throughout the AST Health System’s four locations. Acts as the front line liaison to the clinical departments and handles all supply related tasks for the area, including assessing supply line items, inventorying supplies regularly, and providing replenishment of supplies. Inventories, orders, and transports patient care supplies/equipment/trays. Receives, labels, stores, and issues chargeable and non-chargeable patient care materials/supplies to meet department needs. Performs basic computerized inventory functions such as cycle counting and simple modifications to computerized inventory equipment. Maintains inventories to PAR levels; assists with establishing, reviewing, and revising PAR levels. Keeps supplies in order at all times, rotates supplies per established procedure, removes and disposes of outdated supplies, and transports supplies as assigned. Cleans inventory equipment. Assists in moving supplies to areas as directed, rearranges stock in bulk storage as assigned, lifts according to weight requirements utilizing manual or mechanical means. Fills requisitions, delivers supplies to assigned patient care/non-patient care areas as required. Accurately maintains tallies, verifies and reports discrepancies to supervisor. Communicates with immediate supervisor and manager regarding the availability of supplies and equipment as necessary. Performs basic computer functions such as inquiries or data entry. Assists in other areas of the department as required completing special projects and ensuring appropriate service to customers. Safely operates manual or battery-powered equipment to transport supplies to assigned departments. Demonstrates behaviors of service excellence and AST customer service values.

Responsibilities & Duties

  • Uses technology for inventory to assess supply needs on a vast array of items in four physically separated sites and clinical areas.
  • Processes supply requisitions for supplies, equipment, and services for the facility.
  • Fills orders and issues materials and supplies per requests.
  • Acts as receiving agent verifying delivered goods; reconciles packing list to orders, and delivers to appropriate department.
  • Maintains files for all types of purchases and prepares receiving reports as needed and consistent with policies and procedures and/or guidelines.
  • Contacts facility personnel, vendors, and delivery personnel to ensure accurate and timely delivery of all purchased supplies, equipment, and services.
  • Keeps records of inventory of supplies, equipment, and furniture with inventory management software.
  • Maintains appropriate inventory through monitoring shelf levels, maintaining files and ordering, receiving, unloading, rotating, and delivering stock per facility.
  • Operates material handling equipment such as forklifts, pallet jacks, hand trucks, or dollies to move stock or reorganize storage.
  • Delivers and returns items to/from LSWN campus and Shawnee campus, such as mail, lab tests, pharmacy supplies, printing, and purchase orders to finance; services PlusCare and Resource Center.
  • Documents transactions accurately and appropriately; attention to detail imperative.
  • Performs minor repairs on stock items or equipment.
  • Changes toner/waste container on copiers; collects the monthly meter readings on all copiers.
  • Utilizes computerized or automated systems to accomplish tasks. Knowledge of MS Word and MS Excel and use of various copier functions required.
  • Performs as a driver for pickup or delivery of supply items when required for facility operations.
  • Participates in routing, counting, and inspecting items while loading and unloading trucks.
  • Becomes familiar with each supply item including nomenclature, unit of measure, and product family and is able to communicate effectively with clinical staff.
  • Replenishes all supply items daily and provides feedback on any stock shortages. Communicates usage trends, shortages, picking errors, and damaged items to supervision and the clinical areas.
  • Assures that all necessary information pertaining to inventory issuance and returns is accurately entered into the tracking system/database.
  • Calculates unit of measure conversion rates.
  • Contacts customers on a daily basis to monitor any service concerns individual departments may be experiencing as it relates to medical materials management.
  • Conducts analysis to eliminate continuing issues.
  • Maintains a neat, orderly work environment in each of the clinical areas serviced, including rotation of stock, validation of expiration dates, disposal of any refuse, adherence to storage requirements, and neatening of existing stock.
  • Performs other related duties as assigned.

Education Requirements and Qualifications

  • High School Diploma or GED required.
  • Forklift certification.
  • Decision Making: Ability to make decisions that are guided by general instructions and practices requiring some interpretation. May make recommendations for solving problems of moderate complexity and importance.
  • Problem Solving: Ability to address problems that are varied, requiring analysis or interpretation of the situation using direct observation, knowledge, and skills based on general precedents.
  • Independence of Action: Ability to follow precedents and procedures. May set priorities and organize work within general guidelines. Seeks assistance when confronted with difficult and/or unpredictable situations. Work progress is monitored by supervisor/manager.

  • Oral Communications: Ability to comprehend and communicate effectively with health system staff, patients, families, and other internal and external customers.
  • Knowledge: Ability to demonstrate full working knowledge of standard concepts, practices, procedures, and policies with the ability to use them in varied situations.
  • Team Work: Ability to act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows.
  • Customer Service: Ability to provide high-level customer service and staff training to meet customer service standards and expectations.
  • Ability to handle multiple tasks, with awareness of deadlines.
  • Ability to identify processes needing improvement, and to recommend improvements.
  • Must have a valid Oklahoma Driver’s License.
  • Must be able to pass a background check.
  • Must be able to pass a drug test.

Physical Requirements and Working Conditions

  • Must be able to sit, stand, stoop, bend, or kneel for long periods of time.
  • Sitting or standing or walking for long periods of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking, hearing, and visual acuity.
  • Frequent lifting (up to 15 lbs)
  • Occasional lifting (up to 30 lbs)
