Position Summary
The Donor Coordinator will play a critical role in stewarding donors as well as maintaining our donor database. The individual will also assist with a variety of administrative duties, events, procurement, and distribution functions, as needed. This position focuses on strengthening connections with current and prospective donors and ensuring consistent communication to build long-term support for the organization.
Key Responsibilities
Gift Processing (40% of time)
- Process incoming gifts, including in-kind, and ensure that gifts and donor information are accurately recorded.
- Maintain an up-to-date database of donor information, including updating donor records, compiling biographical information, data entry, and pulling reports/queries.
- Maintain database accuracy and works on various clean-up projects.
- Pull reports from databases such as Little Green Light and other giving platforms.
- Ensure accuracy of gift batches as needed with Operations Manager and Impact Manager Coordinate donor mailings, including direct mail appeals.
- Track engagement activities and analyze donors giving patterns to increase donor retention, upgrading, and conversion rates.
Donor Engagement (25% of time)
- Develop and execute donor recognition plans to ensure supporters feel valued and engaged.
- Conduct individual donor stewardship including acknowledgement letters, thank you cards, donor appreciation gifts, and other communications via phone and email.
- Build and maintain relationships with current and prospective donors through regular communication and personalized outreach.
Fundraising & Event Support (20% of time)
- Assist in planning and coordinating donor appreciation events and campaigns.
- Coordinate logistics for fundraising events, such as local and national house parties, donor cultivation events, and annual fundraisers.
- Represent FFWW at outreach and community events and site visits with stakeholders and partners as needed.
- Support the creation and implementation of annual fundraising strategies.
- Collaborate with the marketing team to create donor-centric materials, including newsletters, appeals, and impact reports.
- Monitor fundraising metrics and provide regular reports on progress toward goals.
- Research and identify potential grant opportunities or major donors to support program growth.
Administrative and Strategic Tasks (15% of time)
- Perform regular cleanup of databases and mailing lists.
- Provide reports from databases and event registration platforms.
- Provide registration and logistics support.
- Make and maintain calendar appointments for key staff members and projects.
- Prepare meeting materials and coordinate scheduling of office visitors.
- Assist in updating standard operating procedures manual.
- Maintain secured, clean, and organized office spaces at all times.
- Represent FFWW at outreach and community events and site visits with stakeholders and partners as needed.
- Stay informed about trends in fundraising and nonprofit partnerships to identify new opportunities.
Qualifications
- Education: Bachelor’s degree in Nonprofit Management, Communications, Business, or related field (or equivalent experience).
- Experience: 1+ years of experience in partnership development, donor relations, or nonprofit fundraising.
- Proven ability to build and maintain strong relationships with donors and partners.
- Willingness to travel occasionally for partner meetings or donor events.
Skills & Attributes:
- Excellent written and verbal communication skills, including the ability to craft compelling proposals and donor correspondence.
- Strong organizational and project management skills.
- Proficiency in donor management systems (e.g., Little Green Light) and Microsoft Office Suite.
- Knowledge of fundraising strategies and nonprofit best practices.
- High degree of professionalism and attention to detail.
- Self-motivated and able to work independently and as part of a team.
