Description of Duties:

The Summer Programs Support Specialist plays a key role in the Division of Extended Learning, supporting the successful delivery of summer programming. This position involves managing human resources processes, overseeing administrative operations, and ensuring the efficient functioning of the Summer Programs office. Additionally, the Summer Programs Support Specialist serves as the primary seasonal contact for Summer Accelerator online courses.

This position will report to the Director of Summer Programs and Extended Partnerships at the Durham Campus. The duties of this position include:

  • Prepare and maintain HR paperwork for Summer Accelerator, Early Accelerator, Summer Accelerator Online, and other STEM-focused programs, managing documentation for approximately 100 temporary faculty and staff members.
  • Act as a liaison between temporary hires, Summer Programs directors, the Payroll Department, and the HR Department to ensure timely completion and approval of paperwork.
  • Maintain a detailed log of hiring packets to monitor progress and ensure all employees are ready to start on schedule.
  • Stay informed about updates and changes in HR policies and Business Office procedures to ensure compliance.
  • Create and distribute customized timesheet templates for temporary hires and manage the submission process.
  • Oversee program planning and management tasks, including ensuring online Accelerator courses in Canvas are fully prepared and communicating with instructors prior to launch.
  • Coordinate the procurement of summer programming materials and establish an organized system for their distribution to ensure all resources are available and accessible.
  • Provide exceptional customer service by responding to inquiries from families and participants via email.
  • Manage payment tracking, sending reminders to families about outstanding balances.
  • Assist with additional tasks and projects as needed to support the success of all programs.

Knowledge, Skills, and Abilities:

  • Solid understanding of human resources and payroll processes.
  • Familiarity with full-cycle employee recruiting.
  • Excellent written, verbal communication, and interpersonal skills.
  • Generates creative and innovative solutions to problems.
  • Strong analytical skills combined with a high level of attention to detail.
  • Develop and maintain strong relationships with departmental personnel and the NCSSM community.
  • Ability to work with sensitive information and maintain a high degree of confidentiality.

Minimum Education and Experience:

  • High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
  • Strong written communications skills.
  • Strong attention to detail.
  • Excellent computer skills.
  • Ability to work independently.
