Seeking a highly organized and proactive Administrative Assistant II to join our team at EA Engineering, Science, and Technology. This individual will provide comprehensive administrative support, contributing to the smooth day-to-day operations of our office. The ideal candidate will have excellent communication skills, be detail-oriented, and have a positive attitude.

Specific Duties:

  • Coordinate office events, order office supplies and maintain inventory levels, order field supplies, manage shipping and receiving, and assist with office IT needs.
  • Provide editorial and formatting support for proposals, project reports, deliverables, marketing materials, and correspondence.
  • Assist with project administration, including tracking financial information, conducting vendor research, setting up vendors, updating schedules, and handling procurement tasks.
  • Support team members with administrative tasks such as timesheets, expense reports, and onboarding of new employees.
  • Assist in the creation and submission of marketing and business development proposals, including graphic design and layout.
  • Schedule and coordinate meetings, appointments, and conference calls.
  • Handle general office duties including answering phones, managing emails, and sorting mail.
  • Perform other administrative tasks as needed to support the office and project teams.

Qualifications:

  • Minimum of a high school diploma required, some college coursework or a college degree preferred.
  • Administrative experience in an office environment is preferred.
  • Strong written and verbal communication skills, with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong organizational and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • A proactive and flexible approach to work, with the ability to adapt to changing priorities.
