Description

Role Mission: IDEA Public Schools currently serves nearly 90,000 students at 145 schools across 12 regions in four states—Texas, Louisiana, Florida, and Ohio and is searching for an Enrollment Systems Manager, who will assist with all aspects of data management, including but not limited to predictive modeling, future forecasting, dashboard creation, accountability benchmarking and progress toward goal reporting across each milestone within the enrollment cycle. This role will also be responsible for ensuring compliance with all state law and regulations, as well as internal board policies, producing corresponding resources, providing cross-departmental trainings, auditing performance, and reporting on results. Finally, the Enrollment Systems Manager will be responsible for managing the updating and performance of the network’s proprietary enrollment platform and managing the customer service workflow. This position reports directly to the Director of Enrollment Systems.

Supervisory Responsibilities:

There are no permanent supervisory responsibilities associated with this role. During certain times of the year the Enrollment System & Data Manager could be responsible for supervising intern roles.

Location: This is a full-time remote position based in Texas with preference given to candidates who live in Austin, El Paso, Houston, Permian Basin (Midland/Odessa), Rio Grande Valley, San Antonio, and Tarrant County (Fort Worth), or who are willing to relocate.

Travel Expectations:

Ability to travel up to 15% of the time, in car or by plane, to attend meetings or support regions as needed with overnight stays ranging from 1 – 5 days.

What You’ll Do – Accountabilities

Essential Duties:

  • Analyze KPIs and provide leaders with accurate and functional data insights to drive direct-response plans to ensure the district reaches all milestones within the annual enrollment cycle.
  • Develop accountability systems for national and regional leadership team members to use in tracking progress, coaching, and driving their portfolios to meet ambitious enrollment targets.
  • Coordinate with critical business partners to prepare enrollment systems and dashboards for each milestone release throughout the enrollment cycle, including app launch, recruitment, lottery, offer management, registration, re-registration, and first weeks of school.
  • Codify the essential knowledge, skills, and exemplar materials on enrollment related policies and standard operating procedures into exemplar trainings and resource materials.
  • Develop and maintain the network’s enrollment policies and standard operating procedures and ensure that the network remains compliant.
  • Assist in the management of the team’s web-based enrollment platform including monitoring performance, coordinating site maintenance, planning feature updates, and milestone configuration.
  • Manage a best-in-class customer service experience, providing technical and enrollment process related support to staff and guardians.
  • Develop and facilitate virtual and in-person trainings regarding enrollment, enrollment systems, compliance and customer service using presentation tools.
  • Complete and respond to enrollment related data requests from other business partners inside and outside IDEA including public information requests.

Additional Duties and Responsibilities:

  • Research and assess new systems and opportunities to improve efficiencies for the enrollment team; coordinate the set up and launch processes.
  • Write and update standard operating procedures for the division.
  • Develop and lead compliance audit processes including corrective actions and follow-ups.

Required Experience:

  • Bachelor’s degree required, Master’s degree or other advanced degree in relevant field preferred.
  • At least 5 years of professional experience.
  • At least 1 year of managing through layers within an organization.

Preferred Experience:

  • Knowledge of the K-12 education landscape, especially with open-enrollment charters.
  • At least 1 year of student recruitment-related leadership experience.
  • Data interpretation experience.
  • Project management.
  • Experience leading across multiple regions.

Physical Requirements:

  • The ability to sit, stand and walk for long periods of time.
  • The ability to move safely over uneven terrain or in confined spaces.
  • Bending, crawling, stooping, standing, vision, lifting, walking.
  • Ability to carry up to 25 lbs.

Compensation & Benefits:

Salaries for people entering this role typically fall between $74,764-$87,100, commensurate with relevant experience and qualifications and in alignment with internal equity. This role is also eligible for performance pay based on organizational performance and goal attainment.
