The Executive Assistant to the Vice President provides administrative and project management support. The successful Executive Assistant will be:

  • Capable of functioning at multiple levels in a changing environment
  • A highly motivated and versatile professional, driven for continuous improvement
  • Able to maintain confidentiality at all times
  • Confident, polished and proactive in dealing with internal and external parties on the Vice Presidents behalf

Essential Functions:

  • Provides a bridge for smooth communication between the VP's office and internal departments
  • Assist the VP in strategic planning and all projects involved
  • Coordinate, attend and document customer and internal department meetings and conference calls
  • Assist in coordination and materials preparation for meetings May include PowerPoint/Canva presentations
  • Creates, edits and circulates a variety of communications pieces and reports on behalf of or for the benefit of the Vice President
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Perform general office duties such as filing and preparing correspondence
  • Make travel arrangements as requested

Qualifications:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, customers, external partners and vendors
  • Strong written and verbal communication
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity and a polished, professional personal presentation
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

Required Skills and Competencies:

  • Written Communication: Edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information. Possesses intermediate knowledge level of Microsoft Office Software.
  • Planning/Organizing: Prioritizes and plans work activities, uses time efficiently and develops realistic action plans. Ability to deliver under pressure.
  • Quality Control: Demonstrates accuracy and thoroughness and monitors own work to ensure quality.
  • Adaptability: Adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events
  • Dependability: Consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance.

Experience and Education:

  • Bachelors degree required
  • Experience in Microsoft Office software
  • 2+ years of experience supporting Executive-level positions
