Administrative Specialist II

Job Duties:
We are seeking a positive dynamic innovative and experienced individual to collaborate with the Recreation Center Coordinators. Someone who can promote and demonstrate the department’s Cultural Foundations of Professionalism, Accountability, Respect, Integrity, and Citizenship.
RECREATION CENTER ADMINISTRATIVE SPECIALIST II will provide administrative support to the recreation center (Member Services, Recreation Services, Aquatics, Fitness and Wellness) coordinators. This individual will develop consistent protocols, standardized hiring and onboarding practices and assist with the review of unit policies and procedures. Developing communication strategies, ensuring goals are met and providing statistical analysis for decision making will be pivotal to the overall success of the team.
Duties and responsibilities include but are not limited to:
Analytical Skills
- Assist in the development and oversight of unit goals, Business Plans, cost recovery, and customer service initiatives
- Review, interpret, revise, and disseminate policy and procedure information to recreation center units
- Author narrative and statistical reports with supporting justification for decision making
- Assist with tracking unit revenues and expenditures for budget reconciliation
- Compile, analyze and assimilate data from multiple sources for budget and monthly reports
- Evaluate processes, recommend efficiencies, and develop tracking mechanisms
Facilitation & Collaboration
- Establish an effective rapport with internal and external contacts, collaborate with work units and serve as a liaison on committees and teams
- Serve as a liaison with P&R Human Resources for hiring consistencies and processes
Administrative Support
- Utilize ActiveNet database for researching membership accounts, activities, scan information and revenues
- Provide administrative support for records retention, SharePoint, contract oversight, staff training records and asset management
- Utilize PowerBI, Oracle and InSITE databases for tracking revenues, expenditures, and statistical analysis
- Solicit quotes, create purchase orders and requisitions, and process invoices
- Provide procurement guidance and assistance to units
- Assist with scheduling and securing department travel for professional trainings
- Research applicable policies and practices for responses to citizen and department inquiries
- Serve as the Freedom of Information Act (FOIA) liaison for Programming and Operations
- Serve as an Alpha I employee and immediate back-up for emergency operations

Minimum Requirements: Requires any combination of education (above the high school level) and/or experience equivalent to six (6) years in fields utilizing the required knowledge, skills, and abilities, such as business or public administration.
Preferences:
- Experience in recreation, parks, business or public administration
- Experience with assisting with budget preparation and budget databases
- Experience with spreadsheets and/or statistical reports
- Experience with purchasing
- Experience with process improvements and innovation
