Maintenance Administrative Coordinator – Anchorage, AK

We’re looking for an amazing maintenance professional to fill this role, which is based in our Anchorage office. This is a multi-faceted role with general facility maintenance and inspection responsibilities in our Anchorage Transportation shop and maintenance administration responsibilities for our Parks Transportation shops. Responsibilities:
- Responsible for the daily and monthly financial tracking, processing, and reporting of maintenance department.
- Orders and receives parts and supplies for both Parks motorcoach shops as well as supports the Anchorage and Portage shops.
- Coordinates and ensures parts are transferred to each Parks location in a timely manner.
- Creates and processes all work orders, purchase orders, invoices, and expense accruals for the Parks shops.
- Maintains accurate inventory of division’s parts and shop supplies that includes routinely counting inventory to ensure proper inventory levels are maintained and accuracy in our Fleet Management system is maintained.
- Manages division’s RTA Fleet management system. The RTA program is a specially designed computer program that tracks purchasing of inventory, parts, and fuel, and provides vehicle maintenance tracking, preventive maintenance scheduling and employee productivity analysis.
- Maintains maintenance vehicle files to ensure compliance.
- Prepares end of month RTA accounting paperwork.
- Assist with Facility Preventative Maintenance and shop assistant functions.
- Cleans and maintains maintenance facilities and areas according to established company standards.
- Performs facility inspections thoroughly and routinely within a set timeframe.
- Works under close supervision to support maintenance staff with maintenance operations.
- Assists technicians with various maintenance duties.
- Assists with fueling company vehicles and equipment.
- Assists with cleaning/detailing coaches, trucks, and vans, particularly in off season months.
- Assists with snow and ice removal in winter months.
- Applies and follows federal, state, and Company regulations, policies, and procedures.
- Assist in training new seasonal staff on departmental procedures and processes.
Requirements:
- This job normally requires a level of knowledge in parts inventory equivalent to that which would be acquired through the completion of high school or equivalent certification. Demonstration of directly related work experience, which has provided a depth of knowledge may be considered in lieu of the educational requirement.
- Proficient knowledge of Microsoft Office including Outlook, Word, and Excel.
- Must have a valid state driver’s license with a clean driving record. Driving record must meet our Company clean driving eligibility requirements for the last three years. A Motor Vehicle Report (MVR) will be requested.
- A Commercial Driver’s License (CDL) is preferred and can be obtained through the Company-sponsored training class.
- Must pass a pre-employment background check.
- Minimum age of 21 is required for your CDL.
- Must be able to lift 55 lbs/25 kg on a consistent basis.
- Must be eligible to work in the United States. Holland America-Princess is unable to sponsor or take over sponsorship of employment visas at this time (e.g., H-2B status).
Abilities, Knowledge, and Skills:
- Proficient in the use of computer business applications with working knowledge of computerized inventory systems.
- General knowledge and/or experience of maintenance is preferred.
- Ability to communicate clearly, both verbally and written, coordinate and collaborate with management and staff.
- Ability to organize work, meet deadlines, and maintain attention to detail.
- Ability to work in fast-paced environment with multiple tasks and external influences.
- Ability to work independently with minimal supervision while achieving daily goals.
- Ability to support and comply with company policies, procedures and guidelines including support and comply with company health and safety standards.
- The work is performed in an office/shop environment during company established work hours and workdays. The schedule may vary and include weekends, evenings or early mornings and overtime according to business needs.
