Administrative Support
- Serve as the primary administrative liaison for the Director of Recruitment, managing calendars, scheduling meetings, and preparing materials as needed.
- Coordinate logistics for team meetings, including setting agendas, taking minutes, and distributing follow-ups.
- Assist in managing correspondence, responding to inquiries, and escalating matters to appropriate team members.
Operational Support
- Maintain and update recruitment team documentation, including manuals, policies, and procedures.
- Respond promptly and professionally to cases from international students, parents, and school counselors via email, phone and other communication platforms.
- Track and manage key recruitment deadlines and deliverables to ensure the team stays on schedule.
- Support the creation of recruitment-related reports, dashboards, and presentations using data provided by team members.
- Collaborate with other OAFA staff to ensure alignment between recruitment and admissions processes.
Event Coordination
- Assist with planning and coordinating on-campus and virtual recruitment events, including scheduling, material preparation, and logistics.
- Serve as the point of contact for vendors, facilities, and internal stakeholders for event needs.
Communication and Data Management
- Manage communication channels for the recruitment team, including email lists and shared calendars.
- Organize and maintain databases of prospective student contacts, event RSVPs, and other recruitment-related data.
- Assist with maintaining accurate records of partnerships with community-based organizations (CBOs) and school counselors.
Team Support
- Provide general administrative assistance to team members, such as preparing travel itineraries or expense reports, as needed (non-travel role).
- Facilitate cross-team collaboration by managing shared resources and ensuring seamless communication.
- Collaborate with team members on special projects and initiatives as assigned.
The Recruitment Team Coordinator plays a crucial role in supporting the Director of Recruitment and the broader Recruitment Team. This hybrid position focuses on providing high-level administrative and operational support to ensure the efficient execution of recruitment initiatives, events, and day-to-day operations. The ideal candidate is organized, detail-oriented, proactive, and able to work collaboratively in a fast-paced environment.
A High School Diploma or GED is required for this position and a Bachelor's degree is Preferred.
