The Student Personnel Coordinator reports to the Associate Director for Human Resources and is responsible for providing human resources support to all areas of Recreation and Wellness. This includes advising on student HR policies and processes while ensuring legal compliance and monitoring best practices for recruitment, onboarding, and development of student workers from the context of their employment. One of the largest employers of students on campus, Recreation and Wellness hires a diverse and talented staff of more than 700 student workers in various positions.
This position will work primarily from the Recreation and Wellness Center on the East Bank campus of the University of Minnesota. This position is required to be on campus 4 days of a week. Work hours are Monday – Friday, 8:00am to 4:30pm with some flexibility for nights and weekends as needed.
Essential Functions
- Serve as a partner to department managers for all student employment functions, including recruitment and ensuring compliance with employment-related laws, regulations, and policies
- Promote and support equity, diversity, inclusion and access in the recruitment and retention of student workers and temporary/casual employees for Recreation and Wellness
- Coordinate onboarding processes for student workers, including the oversight of a department-wide Canvas training for student employees
- Process upwards of 150-200 I-9s annually for student workers and temporary/casual employees
- Review and approve student employment paperwork and other transactional human resources procedures for the department
Work Responsibilities
Student and Temporary/Casual Recruitment (40%)
- Coordinate with area managers to effectively recruit a skilled, enthusiastic, and diverse base of student personnel to support the department mission of serving all students and the greater University community by enriching the campus experience and encouraging lifelong wellbeing
- Review and approve TDX hiring, termination, and other forms that are submitted by supervisors of student workers and temporary/casual employees, ensuring that requests are submitted accurately and according to University Human Resources Management System (HRMS) guidelines and definitions
- Utilize proactive recruitment strategies to efficiently fill open student positions
- Ensure that Vietnam Era Veterans’ Readjustment Assistance Act (VEVRAA) posting requirements are met for all temporary/casual hires, when applicable
- Work with each program and facility manager to develop and maintain a consistent and up-to-date job description for each student and temporary/casual position
- Proactively engage student managers to determine opportunities for efficiency in student hiring processes
- Promote continuity planning for key positions while partnering with area managers to assess ongoing staffing needs
- Initiate, create, and generate staffing reports upon request by area managers or department leadership
- Maintain a well-organized Recreation and Wellness Student Employment folder, updating forms as needed, to serve as a resource and toolkit for managers of student employees
- Collaborate with the department’s Marketing and Communications team to effectively promote student employment opportunities across campus, through the RecWell website, and via social media
- Represent the department at student employment job fairs
Student Onboarding, Engagement, and Development (40%)
- Serve as the primary I-9 administrator for student and temporary/casual positions in Recreation and Wellness, meeting with upwards of 150-200 new hires annually to process their I-9s and ensure the verifications are complete and within compliance of federal laws and University policies
- Maintain a canvas training module to serve as the onboarding manual for all Recreation and Wellness student positions, ensuring consistency in performance management and expectations across the department
- Lead the implementation of the Office for Student Affairs’ Student Employment Program for Recreation and Wellness, which promotes career development by leveraging their skills and knowledge gained through their on-campus employment
- Serve as a lead facilitator of student development and recognition efforts for the department
- Collaborate with the Recreation and Wellness Marketing and Communications team to distribute regular communications to student staff, sharing events and successes from across the department
Time and Absence Administration (20%)
- Serve as a Time and Labor Administrator for the department
- Provide training on PeopleSoft HRMS time reporting and approvals to student personnel and department managers while ensuring accurate timekeeping and approvals for student positions across all areas of the department
- Establish appropriate pay steps and levels for student positions, in conjunction with the department’s Senior Leadership Team
- Ensure proper reporting lines are established through Position Management in PeopleSoft HRMS
