Our Workplace Services team is currently seeking an Analyst in our Worcester, MA location. This position is eligible for a hybrid work arrangement. This is a full-time, non-exempt role.
POSITION OVERVIEW:
As a member of the Workplace Services team, this individual will lead the accounts payable process for the Workplace Services team by processing and tracking purchase orders and invoices collaborating with vendors and internal finance/AP partners to ensure accuracy and timely processing ensuring all monthly financial obligations are met. This individual will provide support for the team in other capacities including but not limited to utility and emissions tracking, customer service and support, tracking of work requests and will function as a backup for our Fleet Administrator.

IN THIS ROLE, YOU WILL:
- Lead the accounts payable process for Workplace Services vendors including purchase orders, invoices, month end journals and assist leadership in tracking budget and assessing variances and/or abnormalities.
- Support emissions and utility tracking and reporting for the facilities team including consumption of electricity, natural gas, water, and solid waste.
- Work as front-line customer service representative by responding to internal employee requests and maintaining the Workplaces Services intranet pages.
- Track open and closed service requests on the Service Now system and generates reports for managers.
- Track and report other metrics and KPI's as assigned.
- Provides administrative support by maintaining the Facilities filing system and ordering supplies.
- Function as a backup for the vehicle Fleet Administrator interacting with fleet drivers to ensure seamless service.
- Support Facilities, Real Estate and Security Teams in administrative duties required during system/application updates.
- Other projects/duties as assigned.
- 2-4 years of related experience.
- Bachelor’s degree preferred.
- Strong written and verbal communication skills.
- Strong math and analytical skills.
- Knowledge of MS Office products.
- Ability to use a computer and type for extended periods of time.
- Ability to sit for extended periods of time (up to 90% of workday).
- Ability to support a variety of tasks and adapt quickly.
- Adapt procedures, processes, and techniques to accomplish the requirements of the position.
- Resolves routine questions and problems and refers more complex issues to higher levels.
- Works under direct supervision and selects from a variety of established procedures to accomplish assigned tasks.
