ECE Administrative Assistant II - Early Childhood Education

Position Summary:
Provides administrative support to the Executive Director and other Program Directors.


Essential Functions:

1. Keep inventory of and order supplies/postage as needed.
2. Utilize database software to its fullest capacity to include: roster, payments reports, program statistics, mailing labels and list.
3. Process mail and faxes.
4. Perform customer service duties.
5. Input data, type and file documents.
6. Attend all staff meetings, trainings and other YMCA functions as required by Supervisor.
7. Maintain open lines of communication with participant, staff and supervisor.
8. Perform other duties as assigned.

Qualifications:
1. Education & Certifications: High School Diploma or equivalent required. Some college units preferred.
2. 2 plus years of office work experience.
3. Ability to handle multiple assignments, organizational skills, basic PC and typing skills required.
4. Additional Requirements: Criminal Clearance: Including Fingerprints and background clearance
5. Health Screening w/Negative TB Test and Negative Drug test screening
6. Complete all required online training(s).

  • Strong Excel and Microsoft Word skills
  • Spanish preferred
  • Strong communication skills
  • Knowledge of state funded programs preferred
  • Strong public speaking skills

Working Conditions:
Environmental Factors: Indoor and outdoor facilities (e.g. kitchen and recreational sites); exposure to heat, cold, potentially hazardous chemicals, toxic materials; work on slippery or uneven surfaces. Noise level is usually moderate.
