Position Overview
We are seeking an organized and proactive Director of Operations to oversee the seamless execution of our agency’s core processes, ensuring that resources are effectively utilized and client engagements are flawlessly managed. This role is instrumental in leading operations of our business, driving efficient hiring and onboarding practices, and maintaining operational excellence across our service teams and financial goals. Reporting to the CEO, the Director of Operations will work closely with cross-functional teams to optimize workflows, maximize resource utilization, and support the agency’s growth.

Location: New York, NY or Raleigh, NC in a hybrid work setting (split between working from home, shared offices, and client locations).
Compensation: As required by applicable Pay Transparency laws, Indie Consulting provides a range of minimum compensation for roles that may be hired in locations under these requirements. The salary range for this role is $160,000-$200,000 per year, with bonus eligibility up to $220K+ annually. Additional benefits include health insurance and a 401k plan.

Key Responsibilities
Operations Leadership
- Oversee all agency operations, ensuring alignment with strategic goals and client delivery excellence.
- Define and drive operational KPIs, presenting performance updates to the CEO and leadership team.
- Lead HR initiatives at a strategic and leadership level, focusing on talent acquisition, retention, and organizational culture development.
- Oversee finance-related projects, such as annual budgeting, financial forecasting, and profitability analysis.
- Optimize internal systems and processes to ensure seamless collaboration and productivity across teams.
- Oversee the hiring process, from identifying staffing needs to managing recruitment workflows and interviewing candidates.
- Collaborate with HR to streamline onboarding processes, ensuring new team members are set up for success.
- Develop and implement strategies to improve employee retention and satisfaction, fostering a positive work environment.
- Align staffing strategies with forecasted project needs, ensuring the agency maintains adequate capacity to meet client demands.
- Track and analyze resource utilization metrics to ensure team capacity is optimized across all projects.
- Identify opportunities to improve efficiency and minimize downtime through proactive planning and resource management.
- Regularly report utilization and capacity data to leadership, providing actionable recommendations for improvement.
- Flag when new resources are needed & coordinate with finance team to ensure financial fit.
- Evaluate and refine operational workflows to improve efficiency, scalability, and quality.
- Collaborate with cross-functional teams to identify and address bottlenecks, ensuring smooth project execution.
- Develop and document standard operating procedures (SOPs) to maintain consistency and streamline operations.
- Provide insights and recommendations to leadership on how to improve operational performance and client satisfaction.
Key Qualifications
- 10+ years in operations, project management, or a related leadership role, preferably in an agency setting.
- Proven ability to scope, plan, and execute projects effectively while balancing resource demands.
- Experience in hiring, onboarding, and leading cross-functional teams.
- Proficiency in tracking and analyzing operational metrics, with a focus on resource utilization and efficiency.
- Demonstrated success in optimizing workflows and implementing scalable operational strategies.
- Strong interpersonal and written communication skills, with the ability to manage internal and client-facing conversations.
- Solutions-oriented mindset with a focus on delivering results.
- Collaborative leader who fosters alignment across teams.
- Exceptional organizational skills, with an eye for detail and process improvements.
