Zonda is seeking an Office & Event Coordinator based in Newport Beach, CA to join our team. This role will report to the Chief of Sales and will be responsible for planning and executing both client-facing and internal events, including sales trainings and summits. In addition to event coordination, the ideal candidate will manage all administrative tasks in the Newport Beach Office. This is an exciting opportunity for a highly organized, detail-oriented professional.

What you’ll do:

Client-Facing and Internal Events:

  • Plan and Execute Events:
    • Collaborate with the Marketing and Sales teams to design and execute events that support business goals and align with Zonda’s branding.
    • Coordinate all aspects of event logistics, including venue selection, vendor negotiations, attendee communications, and on-site support.
    • Develop event budgets and ensure events are executed within financial parameters.
    • After each event, review outcomes with internal leaders to highlight areas of success and opportunities for improvement.


Internal Events:

  • Sales Trainings and Summits:
    • Partner with the Chief of Sales to plan and manage annual and biannual sales trainings and summits.
    • Oversee venue bookings, catering, AV requirements, travel arrangements, and agendas for internal events.
    • Facilitate team collaboration and engagement during internal events to drive productivity and motivation.



  • Team Support:
    • Work with internal teams to ensure all event materials and presentations are prepared and delivered on time.
    • Assist with project management for training programs, tracking timelines and deliverables.


Project Coordination:

  • Cross-Functional Collaboration:
    • Partner with Marketing and Sales teams to align event goals with broader company objectives.
    • Serve as the bridge between teams to ensure seamless communication and execution of event deliverables.
    • Create and maintain detailed project plans, ensuring clear communication and timely execution of all tasks.
  • Process Optimization:
    • Continuously evaluate and improve processes for event planning and project management to enhance efficiency and effectiveness.


Office Administration:

  • Cross-Functional Administrative Support
    • Open mail, scan, and distribute to the correct departments
    • Prepare check deposits to send to the appropriate lockbox
    • Prepare Fed-Ex shipping as needed for the office
    • Collect executive’s credit card receipts and submit monthly expense report
    • Order Newport Office supplies, stamps, and other kitchen items
    • Arrange lunch deliveries for team meetings
    • Ship trade show materials for events
  • Manage storage units
  • Assist HR team with administrative tasks

What we are looking for:

  • Bachelor’s degree in Marketing , Communications, Business Administration, or a related field.
  • 2-4 years of experience in event planning, project management, or a similar role.
  • Strong experience with Microsoft Office
  • Proven ability to manage both client-facing and internal events with exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in project management and event planning tools (e.g., Asana, Monday.com, Cvent, etc.).
  • Ability to thrive in a fast-paced, collaborative environment with a focus on delivering excellence.
  • Knowledge of the homebuilding or real estate industry is a plus.
