About the Role

We’re seeking a highly organized Executive / Personal Assistant to support our CEO. This role ensures seamless business operations and personal coordination, managing scheduling, communications, travel, and key priorities in a high growth, fast-paced environment. It requires strong prioritization, proactive problem-solving, and the ability to manage multiple demands with discretion and efficiency.


Responsibilities
  • Bookings: Research, plan, and book travel, restaurant reservations, excursions, and personal appointments. Assist with personal and professional event planning and provide on-site support as needed. 
  • Household Management: Manage household operations; interface with property managers to ensure properties are ready upon arrival, bills are paid, and any issues are addressed. Coordinate with household staff, including babysitters, housekeeper, etc
  • Time Management: Ensure calendar aligns with priorities. Manage work and personal schedules, scheduling meetings and proactively identifying conflicts. Manage and prioritize to-do list
  • Meeting Preparation: Ensure CEO is prepared for all meetings - double checking calendar invites, confirming with outside guests, providing print-outs, greeting guests, etc
  • Email Inbox: Monitor and manage both personal and work emails. Categorize, forward, archive and respond as appropriate
  • Errands and Tasks: Ensure routine items are stocked in the office and at home. Research and purchasing gifts and other one-off items. Run errands, perform administrative tasks, meet vendors, etc
  • Work Expenses: Handle expense reporting and reimbursement, meticulously tracking and reconciling expenses in compliance with company policy
  • When there is bandwidth or CEO support is minimal (which may happen depending on the week) this individual will also intermittently offer support to other Executive team members with work expenses, event bookings or light errands and tasks.
