Reporting to the SVP, Regional General Manager (RGM) you will provide direct administrative support for our region. Your main responsibilities will include: calendar management, coordination of meetings and travel (domestic/international), preparation of PowerPoint presentations, internal communications, report distribution and record-keeping, coordination of monthly tracking reports, support to direct reports of the SVP, RGM and general office support to our regional offices.
All the responsibilities we'll trust you with:
EXECUTIVE SUPPORT
- Calendar and travel management for SVP, RGM (domestic and international).
- Plan and orchestrate meetings/conference calls across the region.
- Process forms and expense reports.
- Manage our staff meetings including agenda coordination and follow-up action items.
EVENT AND MEETING COORDINATION
- Lead the planning and production of all region level activities, including off-sites, workshops and team building events.
- Maintain region calendar; coordinate regular and one-off regional meetings, develop meeting agendas, and draft and distribute meeting minutes.
OFFICE SUPPORT AND REPORT COORDINATION
- Document support: Word, PowerPoint, Excel, general formatting.
- Coordinate monthly reporting, tracking and distribution.
- Verify invoices, supporting the manager or administrative responsibility for budget management (FRE, SRE, TRE, budget closing, invoicing, tracking of budget, re-charges).
- Deal with incoming emails, faxes, phone calls, and mail.
- Maintain organized files/binders.
- Archiving and record keeping.
- Other administrative tasks as assigned (e.g., ordering office supplies, send FedEx) .
- Ad hoc assistance with important events and programs.
Your areas of knowledge and expertise that matter most for this role:
- 3+ years of experience as an Administrative Assistant (supporting multiple leaders is a plus)
- 3+ years of experience coordinating large events and meetings
- Proficiency in Microsoft Office: Outlook, PowerPoint, Excel and Word
- Project Management experience
- Bachelor's degree or equivalent work experience
- Must be fluent in English, additional languages an advantage
This position is open to U.S. citizens, U.S. permanent residents, or individuals who are currently authorized to work in the United States on a valid visa.
The base salary range for this position is $64,000 to $96,000 + cash incentives.
Actual salary offers may vary based on work experience. The base pay range is subject to change and may be modified.
