Fulfillment Coordinator

The Fulfillment Coordinator will have administrative oversight and management of fulfillment activities including fabrication, validation, and shipping.
The ideal candidate will be an action-oriented 'doer' - but at the same time, he/she will see the value in ensuring thorough communication, (including double-checking on details that may be excluded, relaying status updates to appropriate parties at appropriate times, and asking clarifying questions when needed) advocating for consistency in processes to safeguard that no steps are missed, and working collaboratively as a reliable team player in a fast-moving environment.
Responsibilities
- Coordinate order processing intact and handoff to manufacturing.
- Mark up and Calibrate photo intake orders for patients and use IC measure Software for captured measurements for review and production submission.
- Manage and monitor inventory levels and assist in demand forecasting to optimize stock availability.
- Packaging and shipping of outgoing materials domestically and internationally.
- Coordinate/facilitate sales operations order fulfillment through internal manufacturing.
- Track orders, Schedule Delivery and Fitting Appointments with the Clinical Regional Managers.
- Schedule daily courier dispatch pick-up with local vendors for timely delivery.
- Act as liaison to appropriate parties involved in fulfillment activities, ensuring each activity is completed accurately and timely.
- Ensure fabrication activities are reported to various parties by communicating with all those involved.
- Manage and complete the validation and kitting of devices for shipping and final delivery.
- Timely report all related delivery activities in Myomo CRM system.
- Collaborate with management to review case load.
- Regenerate Device History Documents for needed device repairs and ship outbound cases.
- Successfully achieve performance goals, as assigned aligning with company goals.
- Attend and participate in company meetings, which may require occasional travel.
- Cross-train on Procurement activities to cover for time-off and overflow.
- Contribute when needed, to various process improvement initiatives.
- Receive inbound items, purchase orders using NetSuite software and conduct standard receiving process distribution for production and other internal departments.
- Must be able to lift 20lbs to 40lbs.
Requirements
- High School Diploma.
- At least 2-3 years’ experience.
- Attention to detail.
- Ability to work in fast paced environment.
- Strong communication skills.
- Knowledge and experience of medical equipment manufacturing, fabrication, and/or distribution.
- Knowledge of shipping and receiving: FedEx, DHL, UPS couriers.
- Experience in working within a matrix organization.
- Exposure and experience working with CRM systems.
- Ability to communicate effectively verbally and in writing.
- Self-motivated with the ability to adapt to new situations, prioritize work and solve problems.
- Basic comprehension of computer programs, including Microsoft Excel, Word, and PowerPoint, Outlook, Trello, NetSuite, SharePoint, Arena, Infusionsoft.
- Understanding of operations and purchasing.
