Development Assistant
Location: NYC Metro Area (Hybrid)
This is a hybrid position in New York City; only applicants in the NYC Metro Area will be considered.
Immigration Equality and Immigration Equality Action Fund seek a dynamic, passionate person to join our development team as the Development Assistant. We are proud to be the national leaders in the field we pioneered: lesbian, gay, bisexual, transgender, queer, and HIV immigration rights.
Founded in 1994, Immigration Equality has a dual focus of direct representation and impact work. We take calls every day from clients who need help right now and we work to change the systems that have a lasting impact on how LGBTQ and HIV-positive immigrants are treated. We work with asylum seekers, detained individuals, refugees, and binational couples, answering thousands of inquiries and hotline calls and representing more than 650 individuals each year primarily through a nationwide pro bono program. We also engage in administrative advocacy and impact litigation to protect the interests of our community. Finally, through our Action Fund, we lobby federal policymakers to pass progressive legislation consistent with our mission goals.

The Development Assistant is an essential part of our fundraising team, supporting donor data management, gift processing, grants administration, and donor communications. This is a development support role requiring a tech-forward, detail-oriented, organized professional who is passionate about ensuring the efficiency and accuracy of our donor and grants management systems. The Development Assistant will report to the Development Director and work closely with the entire development team. This is a hybrid position that requires 2-3 days each week in our Manhattan and/or Brooklyn office. The position requires strong communication skills and a collaborative mindset to work effectively with a geographically disbursed team. Occasional evening and weekend work, as well as some travel, may be required.

Essential Functions:
Gift Processing & Donor Acknowledgment
- Receive and process incoming mail
- Process and record all incoming donations accurately and efficiently in the donor database.
- Generate and distribute donor acknowledgments, tax receipts, and collaborate with frontline fundraising staff to ensure thank-you messages are completed in a timely manner.
- Work closely with the finance & operations team to reconcile donations and maintain accurate financial records.
- Serve as the primary point of contact for general donation inquiries
Grants Management
- Assist in tracking and managing grant deadlines, proposals, and reporting requirements.
- Maintain an organized grants calendar and coordinate submission timelines with the Development Director and grant writing consultants.
- Ensure timely and accurate submission of grant reports, including gathering program data and financial information.
- Conduct foundation prospect research efforts to identify new grant opportunities aligned with our mission.
Donor Data Management
- Maintain the integrity and accuracy of donor records in the CRM (Salesforce), including regular data cleaning and updates.
- Generate reports to track fundraising performance, donor engagement, and grant activity.
- Assist in donor segmentation and prospect identification for fundraising campaigns and stewardship initiatives.
- Provide data support for donor communications and fundraising events.
- Conduct prospect research by regularly wealth screening our donor base and working closely with the Development Director and Executive Director to identify and qualify prospects for increased giving.
Donor Communications & Events Support
- Assist in proofreading and sending emails within our communications suite (Pardot).
- Support the execution of donor outreach campaigns, including direct mail and digital appeals.
- Support the logistics for digital and in-person donor events. The majority of our in-person events are currently in New York City.
Minimum Qualifications:
- At least one year of relevant work experience such as volunteer positions (such as internship) or paid part-time/full-time experience in a nonprofit development, fundraising environment; or administrative support role in a for-profit environment.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent written and verbal communication skills.
- Ability to prioritize and manage multiple tasks while meeting deadlines.
- Self-motivated and able to work both independently and collaboratively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Demonstrated interest in LGBTQ, immigrant rights, or social justice organizations.
Desired Qualifications:
- Proficiency in donor database management (experience with Salesforce preferred).
- Experience with nonprofit grants management or familiarity with foundation funding processes.
- Experience handling confidential donor and financial information with discretion.
- Understanding of best practices in donor stewardship and fundraising operations.
- Knowledge of fundraising email platforms (such as Pardot, Mailchimp) and online giving platforms (such as Classy).
- Familiarity with any of the following software: Salesforce, Pardot, Microsoft Office Suite (including Sharepoint, Outlook, Project, etc.), Classy, DonorSearch.
Salary and Benefits:
- Base Salary: $50,000-$55,000, based on experience and skills.
