About the position: Our office receptionist provides administrative support to our team by answering phones, sending emails, coordinating with the leadership team, assisting building visitors, and more. The ideal candidate will have excellent communication skills and the ability to manage multiple tasks efficiently in a fast-paced environment. This is an in-person position.

Essential Functions:

  • Serve as the first point of contact at the front desk, ensuring a warm and professional greeting for all our guests, clients, and employees. Maintain a tidy and welcoming reception area.
  • Efficiently direct clients to their appropriate destinations, including guiding them to interviews or meetings, ensuring they feel welcomed, and their needs are addressed promptly. Coordinate and lead warehouse tours for visitors.
  • Provide administrative support to the executive team, including managing incoming calls, scheduling appointments, managing calendars, scheduling meetings, and assisting with various clerical duties to support office operations.
  • Act as the first point of contact for the executive team, handling correspondence and phone calls.
  • Handle confidential information with discretion and integrity.
  • Support the executive team with personal tasks as needed to optimize their time management.
  • Collaborate with other staff members to ensure a cohesive and productive work environment.
  • Ordering supplies for various departments of the company.
  • Receiving and distributing incoming mail.
  • Other duties as assigned.

Qualifications:

  • Proven experience as an Executive Assistant or similar administrative role.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Proficiency in Microsoft Office Suite and other office productivity tools, with the aptitude to learn new software and systems.
  • Flexibility and adaptability to handle a diverse range of tasks and to work extra hours if required.
