About This Role:
The Executive Assistant I provides executive support and administrative assistance to the CFO and Global VP of Human Resources and their teams. Exercises sound judgment in handling a variety of matters, including confidential information. Frequently interacts with officers, senior leaders, employees, and others and is routinely entrusted with highly confidential information.

The salary for this opportunity ranges from $56,925 to $93,340

About This Role:
The Executive Assistant I provides executive support and administrative assistance to the CFO and Global VP of Human Resources and their teams. Frequently interacts with officers, senior leaders, employees, and others and is routinely entrusted with highly confidential information.

Essential Job Functions/Tasks
- Provides executive assistance and administrative support which includes preparing correspondence, communications, presentations and other documents. Maintains calendars, schedules appointments and arranges travel.
- Plans and coordinates business meetings/conferences/events and provides support for meetings to include preparation of meeting agenda, organizational requirements notification to attendees, records meeting minutes and arranges catering as needed.
- Designs, updates, maintains, and publishes reports and presentations; organizes and maintains business unit budget(s), including resolving discrepancies with business unit leaders and the Finance department. May also assist in the process of monthly or quarterly reforecasting. Maintains tracking of budget expenses, processes check requests and expense reports.
- Plans and performs analysis of business unit functions, processes, workflows, and activities to continuously make improvements/reductions in operating expenses without sacrificing quality.
- Maintains analytical tools and dashboards to facilitate standardization of data, reporting, and financial analysis.
- Supports managing projects by tracking progress, deadlines, and deliverables. Collaborates with different departments to ensure project alignment with company goals.
- Maintains confidential and general executive files.
- Other duties may include providing administrative support for leaders within the business units.
- Bachelor’s degree or equivalent work-related experience in supporting an executive.
- Minimum seven years of experience supporting an executive.
- Minimum five years of project administration/coordination.
- Strong interpersonal skills to interface with owners, officers, board of directors, employees at all levels, customers, vendors, etc.
- Advanced computer skills in Word, Excel, PowerPoint, Project, SharePoint, Visio, and Access.
- Excellent written and verbal communication skills in English (Spanish a plus).
- Detail oriented with strong organizational, analytical and follow through skills; multi-tasker with the ability to frequently re-prioritize responsibilities to meet all deadlines.
- Must be able to work independently and have excellent decision-making abilities.
- Requires tact, diplomacy, and the ability to use discretion and maintain confidentiality.
- Strong analytical, troubleshooting, and problem-solving skills.
- Professional phone and business etiquette.
- Ability to travel as required.
