We are seeking a highly organized, articulate, and educated Executive Assistant to support our CEO. The ideal candidate will have a strong background in bookkeeping and/or paralegal experience, with a proactive approach to problem-solving and a commitment to excellence. This role will be pivotal in ensuring the smooth operation of the CEO’s office, enabling him to focus on strategic initiatives.

This position must be located in or commuting distance to Chattanooga, TN and be available for in-person work. The ideal candidate will be a certified Pilot or Flight Instructor to assist with various aircraft needs.

Responsibilities

  • Manage the CEO’s calendar, including scheduling meetings and appointments.
  • Coordinate and prioritize incoming communications, ensuring timely responses.
  • Assist with office clerical duties, including filing, data entry, and correspondence.
  • Handle travel arrangements and itineraries for the CEO.
  • Ensure the office environment is organized and efficient.
  • Serve as the primary point of contact for internal and external stakeholders.
  • Make phone calls and represent the CEO in various communications.
  • Assist with bookkeeping tasks, including invoicing, expense tracking, and budget management.
  • Support financial reporting and documentation as needed.
  • Provide paralegal assistance, including document preparation and legal research, when required.
  • Collaborate with the CEO to manage aircraft scheduling and related needs.
  • Liaise with pilots and aviation services to ensure seamless travel logistics.
  • All other duties as assigned.

Requirements

  • Exceptional organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Proven experience as an Executive Assistant or in a similar role.
  • Familiarity with bookkeeping and/or paralegal practices is a plus.
  • Bachelor degree in Finance, Communications, and/or Management.
  • Ability to handle confidential information with discretion.
  • Flexibility and adaptability in a fast-paced environment.
