POSITION SUMMARY:

The Employee Health and Wellness Assistant is a dual role focused on clinic support in both the clinical and administrative areas. The ideal candidate will have exceptional interpersonal skills, exhibit a strong work ethic, a high level of integrity, a passion for helping others, and an alignment to the values and mission that Boston Medical Center serves.

Clinically, the Employee Health and Wellness Assistant, under the direction and supervision of the Working Well Clinic Leadership, and in accordance with Boston Medical Center policies, procedures, protocols, and standards of practice, participates in the delivery of employee patient care experience through the various components of the pre-employment evaluations as part of the employee onboarding experience at the Working Well Clinic.

Administratively, the Employee Health and Wellness Assistant gathers patient information for registration, schedules appointments, verifies demographic and financial information, and assists in the facilitation of employee patient experience at the Working Well Clinic. They will also support the billing processes, as well as Health and Wellness events and initiatives, as needed.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Delivers care in a non-judgmental, non-discriminatory manner that demonstrates respect for patients. Duties include:

Clinical Support:

  • Collaborates with the Medical Director, Nurse Manager, and Employee Wellness Clinician, as a member of the interdisciplinary team throughout the shift to determine appropriate work assignment and priorities, as well as communicates status of delegated task completion and outcome of patient data findings.
  • Maintains timely ongoing verbal communication.
  • Monitors patient flow including waiting room activity and communicating wait time updates to patients.
  • Informs Clinical staff, technical staff and/or supervisor of arrival of patients.
  • Conducts pre-visit chart review and preparations for upcoming visits, including identification and documentation of patient care needs based on clinic guidelines and protocols.
  • Enters orders for labs and tests to be completed at upcoming visits per clinic guidelines and protocols.
  • Greets patients in the waiting room and escorts them to exam rooms.
  • Uses recognized and accurate medical terminology and abbreviations for all documentation, avoiding unapproved abbreviations, per Hospital policy.
  • Assists with the intake process by checking two patient identifiers.
  • Accurately collects and documents vital signs, chief complaint/reason for visit, and medical/family/social history in medical records.
  • Enters allergies and smoking status; documents current medications and prescriptions that need to be renewed.
  • Obtains immunization records/history and enters findings into the patient medical record.
  • Instructs patients on how to prepare for the provider and assists as necessary.
  • Anticipates/sets up special equipment and/or supplies needed for visits.
  • Administers preventative/population health management screens and questionnaires and records them in the medical record.
  • Arranges refills information for provider approval.
  • Downloads glucometer and other device data for provider review.
  • Alerts the provider when a patient is ready and communicates abnormalities in findings.
  • Complies with department documentation standards to ensure a complete and accurate patient record.
  • Updates patient pharmacy information.
  • Collects, labels, sends, and may deliver specimens with appropriate laboratory slips.
  • Identifies emergency/crisis situations and initiates appropriate response actions within the scope of their role.
  • Maintains competence of tasks and performs tasks in relation to a variety of technical skills.

Advanced Clinical Activities:

  • Assist with chronic wound treatment, MOHS surgery, excisional surgery, laser treatment, and other cosmetic procedures.

Clerical Support:

  • Gathers and assists patients with registration information at every visit.
  • Ensures accurate data entry and updates into the computer system.
  • Verifies Workers’ Compensation coverage for patients and obtains necessary approvals.
  • Follows internal collection and cash control policies.
  • Maintains clinic files and patient records; uses computer terminal for access/input of patient information.

General Duties:

  • Demonstrates knowledge and skills necessary to provide age-appropriate care.
  • Orientation of new staff and serves as a resource to float pool staff.
  • Conforms to hospital standards of performance and conduct.

  • Maintains a presentable appearance in accordance with dress code requirements.
  • Adapts to changing patient and practice unit needs.
  • Acts in a manner that supports a positive and collaborative work environment.
  • Participates in ongoing educational activities to maintain technical competency.

JOB REQUIREMENTS

EDUCATION:

  • Requires HS diploma or GED plus completion of a medical assistant program or equivalent experience.

EXPERIENCE:

  • Requires at least two years of previous work experience, preferably in a clinical setting.

KNOWLEDGE AND SKILLS:

  • Must pass clinical competency testing.
  • Ability to effectively communicate in English.
  • Excellent customer service skills and ability to communicate courteously.
  • Organizational skills to set priorities and complete assigned work.
  • Basic computer proficiency.
