Summary
Provides professional support and departmental assistance to ensure maximally efficient use of the Executive’s time and high quality, effective interactions within and outside the department, with staff and external constituents.
Principal Duties And Responsibilities

Handles a wide range of highly sensitive and confidential administrative and executive support-related assignments.
Responsible for the day-to-day organizing, scheduling and execution of the executive’s schedule.
Responsible for organizing meeting materials including agendas, presentations, coordinating participation and setting up necessary equipment. May be asked to take minutes and coordinate follow-up actions as appropriate.
Acts as a professional point of contact representing the executive to Lifespan employees and external stakeholders, including board members and government officials.
Uses discretion, judgement, common sense and organizational knowledge to review, prioritize and coordinate a wide variety of complex and confidential requests.
Responsible for schedule management, operational efficiency, information preparation and data analysis. Suggest more efficient ways to run the office and troubleshoot malfunctions.
Coordinates high-level projects, travel arrangements and meetings. May plan and schedule work and direct other staff to deliver support. Has a broad knowledge and understanding of Lifespan’s operations and business objectives.
Ability to prioritize working in a highly dynamic environment which frequently requires multi-tasking where the state of importance frequently occurs, and adaptability is utmost essential.
Effectively organizes and maintains all documents of a private and sensitive nature particularly those which relate to personnel matters in accordance with company policies and procedures.
Requires exceptional critical thinking skills. Ability to receive and screen visitors/calls and direct to the appropriate respondent. Differentiate between decisions that can be made autonomously and those that require input.
Collaborates with colleagues to foster a team-oriented environment.
Performs other related duties as required, including the coordination of department-specific projects and initiatives.
Knowledge
Performs other related duties as required.
Associate’s Degree required; Bachelor’s preferred.
Advanced Microsoft Office skills, including Outlook, Teams, Word, PowerPoint, One-note and Excel.
Demonstrated experience successfully managing cross-functional projects.
Impeccable attention to detail is essential.
Requires extraordinary discretion, and the ability to navigate complex interpersonal dynamics with neutrality.
Proactive orientation and keen ability to anticipate needs and problem solve.
Actively promotes and serves as a role model for professionalism and customer service.
Excellent oral and written communication skills.
Outstanding organizational and time management skills.
Experience
4 years of progressively responsible administrative experience required.
Pay Range
