About the Role:
The Business Office Manager plays a pivotal role in overseeing the daily operations of the business office to ensure efficiency and accuracy in financial and administrative functions. This position is responsible for managing billing, collections, payroll, and budgeting processes, thereby supporting the organization's financial health and compliance. The role requires close collaboration with various departments to streamline office procedures and enhance overall productivity. The Business Office Manager also leads a team, providing guidance and training to maintain high standards of performance and customer service. Ultimately, this position ensures that all business office activities align with organizational goals and regulatory requirements, contributing to sustainable growth and operational excellence.
Minimum Qualifications:
- Bachelor’s degree in Business Administration, Finance, Accounting, or a related field.
- Minimum of 3 years of experience in business office management or a similar administrative role.
- Strong knowledge of accounting principles, financial reporting, and office management software.
- Proven ability to manage teams and coordinate multiple projects simultaneously.
- Excellent communication, organizational, and problem-solving skills.
Preferred Qualifications:
- Experience with healthcare or insurance billing systems is highly desirable.
- Prefer experience in Long Term Care
- Certification in office management, accounting (such as CPA), or project management (such as PMP).
- Familiarity with regulatory compliance standards relevant to the industry.
- Advanced proficiency in financial software such as QuickBooks, SAP, or Oracle.
- Demonstrated success in process improvement and change management initiatives.
Responsibilities:
- Manage and oversee all business office functions including billing, accounts receivable, accounts payable, payroll, and budgeting.
- Develop, implement, and maintain office policies and procedures to improve operational efficiency and compliance.
- Supervise, train, and evaluate business office staff to ensure high-quality performance and professional development.
- Collaborate with other departments to coordinate financial activities and resolve discrepancies or issues promptly.
- Prepare and analyze financial reports, forecasts, and budgets to support strategic decision-making.
- Ensure compliance with federal, state, and local regulations related to financial and administrative operations.
- Handle vendor relationships, contract negotiations, and procurement processes as needed.
- Address and resolve customer billing inquiries and disputes in a timely and professional manner.
