The Undergraduate Advising (UGA) office in the Department of Psychology, within the College of Arts and Sciences, seeks an Administrative Assistant to join our team.
The UGA office is directed by Dr. Alisa Paulsen and supports the success of approximately 2,000 psychology majors and 600 psychology minors. The Administrative Assistant supports the Director of Undergraduate Programs and six full-time Academic Advisors by coordinating administrative activities for the undergraduate psychology program and providing administrative, operational, and fiscal support for the office.
The individual in this role assists with fiscal management of the undergraduate program budget, works with the fiscal team to ensure proper documentation is collected, initiates and tracks purchasing and travel requests, and coordinates travel and meeting arrangements for UGA staff. The Administrative Assistant also coordinates and manages arrangements for meetings, speakers, and meals for the undergraduate program.
The Administrative Assistant maintains and edits student records and academic plans in SIS, assigns students to advisors based on advisor specialization and caseload, processes transfer credit, works with Scholarship Universe and the Office of Student Financial Aid to manage undergraduate student funding, and creates and submits reports. The individual serves as a contact person for faculty, staff, students, and visitors; maintains confidential student records, databases, spreadsheets, and files; and facilitates key control and door swipe access requests for the undergraduate computer lab.
The Administrative Assistant oversees the logistics of freshman and transfer student orientations; provides support for the Psychology 2220 Learning Lab; supervises undergraduate student assistants; and assists with special projects.
The individual manages undergraduate program social media accounts; creates content for social media accounts by reading articles, interviewing students, faculty, and alumni, and gathering information from various sources; attends social media meetings at OSU; works with ASC Development to support alumni engagement through social media accounts; creates promotional materials; and works with Communications to maintain brand compliance.
This position is expected to work on-site from 8:00 a.m. to 5:00 p.m., Monday through Friday, with occasional variations in schedule.
Minimum Education Required
High School Diploma or GED
Desired Education
Bachelor's degree or an equivalent combination of education and experience.
Required Qualifications
One year of relevant administrative support experience in an office, academic, higher education, student services, or related environment.
Demonstrated proficiency with Microsoft Office applications, including word processing, spreadsheet, and database software, as well as effective written and verbal communication and interpersonal skills.
Demonstrated ability to manage multiple priorities, coordinate projects and events, maintain accurate records, meet deadlines, maintain confidentiality, and provide excellent customer service in a fast-paced environment.
Desired Qualifications
Two to four years of relevant experience.
Experience working in higher education, academic advising, student services, or a related educational environment.
Knowledge of university policies, procedures, and systems related to student records, procurement, travel, and financial administration.
Additional Information
The pay range for this job profile is $18.37-$23.99. The offer for this position will fall within this range based on internal equity, the unit's available budget, and the candidate's qualifications.
