POSITION DETAILS

Founded in 1971 in Long Island City, Queens, LaGuardia Community College is one of seven community colleges of the City University of New York (CUNY). LaGuardia offers more than sixty associate degree programs and more than fifty workforce training, ESOL, GED, and pre-college programs. In 2023, LaGuardia served approximately 24,000 students. More than one-third of LaGuardia’s degree-seeking students are born outside the United States; they come from 136 countries and speak 43 heritage languages. Sixty percent are first-generation college students.

Virtually all LaGuardia students are ethnic minorities (89 percent), 58 percent are women, 27 percent are over the age of 25. Forty-six percent of associate degree students are Hispanic. Upon graduation most students transfer to four-year colleges, typically in CUNY, to complete their baccalaureate degrees. Graduates of career programs such as Nursing, Computer Technology, and Veterinary Technology enter the workforce. The Admissions Office plays a critical role in supporting prospective students through the college entry process by providing clear information, accessible services, and a welcoming environment for all visitors and applicants.

Reporting to the Associate Director of Admissions Services, the Administrative Coordinator supports the operational and administrative functions of the Admissions Office and serves as a central point of coordination for student-facing services. The position assists in ensuring efficient front desk operations, administrative workflow, and office logistics that support recruitment activities, application processing, and general student service delivery.

The Administrative Coordinator will manage front desk operations, coordinate office materials and supplies, support administrative processes related to admissions operations, and assist with daily office coordination. The role contributes to maintaining a welcoming, organized, and student-centered environment while supporting the overall operational effectiveness of the Admissions Office.

The Administrative Coordinator supports the day-to-day operations of the Admissions Office and assists in coordinating administrative processes that support recruitment activities, student service delivery, and admissions operations. Duties include, but are not limited to, the following:

Front Desk Operations & Student Support

  • Coordinate front desk operations and serve as the primary point of contact for prospective students, applicants, and visitors;

  • Provide general information regarding admissions procedures, application processes, and student services;

  • Direct visitors and students to appropriate staff members or departments;

  • Assist with managing student service flow and visitor check-in processes within the Admissions Office.

Administrative & Office Coordination

  • Coordinate daily administrative functions to ensure efficient workflow within the Admissions Office;

  • Prepare, copy, assemble, and distribute admissions materials, informational packets, and office documentation;

  • Maintain office records, files, and departmental databases to ensure accuracy and accessibility;

  • Assist in preparing administrative reports, spreadsheets, and internal documentation as needed.

Admissions Operations Support

  • Assist with maintaining student application files and supporting administrative aspects of the admissions process;

  • Update and maintain records within university systems and internal tracking documents;

  • Support admissions workshops, information sessions, and events through administrative coordination and preparation of materials;

Communications & Coordination

  • Respond to general inquiries via phone, email, and in-person visits;

  • Assist with scheduling appointments and coordinating calendars for admissions staff as needed;

  • Communicate with other campus departments to support student service needs and administrative requests.

Operational Support

  • Support the Associate Director of Admissions Services in coordinating the operational and administrative functions of the Admissions Office to ensure efficient student service delivery;

  • Assist with coordination of departmental initiatives, recruitment activities, and special projects that support Admissions operations and student engagement;

  • Assist with coordinating the work and onboarding of student assistants, college assistants, or temporary staff supporting front desk and administrative operations;

  • Contribute to maintaining a professional, organized, and student-centered office environment.

QUALIFICATIONS

Bachelor's Degree required.

PREFERRED QUALIFICATIONS

  • Experience supporting administrative or office operations, preferably in a higher education or student services environment.

  • Experience working in a high-volume, student-facing or customer service setting.

  • Strong organizational skills with the ability to manage multiple tasks in a fast-paced office environment.

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).

  • Experience coordinating office logistics such as front desk operations, materials preparation, or supply management.

  • Demonstrated ability to work effectively with diverse student populations.

  • Bilingual ability preferred (Spanish strongly preferred).

CUNY TITLE OVERVIEW

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
