Rental Fleet Operations Administrator

RESPONSIBILITIES:
-Accurately receives fleet into dealer operating system and ensures timely payment to vendors and submits invoices to Fleet Manager for approval.
-Orders equipment at the direction of Fleet Manager.
-Completes IRR and Cash Flow analysis on each machine.
-Generates daily, weekly and monthly reporting
-Submits scoring and warranty documentation for additions/sales within 24 hours.
-Notifies EM Solutions Manager of sales on a monthly basis.
-Create fleet repairs report on all branches on a daily basis.
-Reports all warranty status on a monthly basis, reconciling all fleet warranty enrollments/expirations and creating report to analyze the cost effectiveness
-Review DBS master file and update model file.
-Provide Certified Used program details on rental rollouts and update website rental rollouts on a monthly basis
-Process all branch invoices and ensure properly billed to end users.
-Order Supplies when requested
-Collaborates with all departments within the organization promoting teamwork
-Participates and attends meetings and team projects.
-Make recommendations on technology utilization to improve processes and profitability
- Provide Legendary Customer Experience to internal and external customers
-Completes assigned training within time requirements.
-Professionally prepares for meetings with managers.
-Utilizes technology to improve efficiencies and work stream processes.
-Participates in all required meetings. (Safety, Branch, Managers, Caterpillar Inc., and Industry)
PREREQUISITES:
Bachelors Degree- Preferred (Finance, Marketing, Business Management / Administration, Accounting). Proven track record 5+ years of experience in Operations Management. Must have excellent skills in the following: organization, time management, verbal/written communications, computer and business/sales aptitude. Advanced skills to include (Microsoft Excel, Word, Power Point, Power BI, Tableau, Salesforce CRM, Cognos).
Rental and/or fleet experience preferred. Positive solutions provider, ability to work efficiently, professionally and positively with all levels of employees, (coworkers, service, sales, credit, dispatch, and management staff).
Knowledge of Caterpillar, construction industry, and competitive equipment features and benefits a plus. High energy, self-starter, great work ethic and critical thinking a must.
Must have a valid drivers' license, pass a background check, physical exam and drug test.

Supports Fleet & Operations Mangers in all aspects of rental fleet, including inventory management, purchases, pricing, repairs and warranty, merchandising support. Insures Branch revenues and expenses are properly and regularly on a daily, weekly, monthly basis. Ensures Branch invoices are accurately coded within company guidelines and objectives. Supports all aspects of inventory reconciliation in order to achieve maximum utilization and Return on Investment (ROI).
