Additional Position Details: FTE: 1.0 | Full Time | Monday - Friday / day shifts. Some flexibility on start times (such as 8:30am or 9:00am) although there are some days that will require starting at 6:30am and 6:45am to cover board meetings as noted below.

Position Summary

In general and under limited supervision, the Staff Assistant 2 performs a variety of administrative support functions for a department, clinical unit, or program that may include all or part of the following: Creating and editing letters, forms, presentations, and documents using word processing, databases, spreadsheets, or similar programs; collecting data and developing and generating reports to support department functions; assisting manager with budget creation and administration and analyzing data related to reimbursements, charges, accounts, etc.; coordinating meetings as directed including location, participants, agenda, and minutes; performing other administrative duties to support program(s) and/or department such as scheduling, transcription, auditing, department software maintenance, preparation of invoices, check requests, travel requests, etc.

Key Responsibilities For The Cancer Registry

  • Providing Cancer Conference Support by coordinating physician requests and interdepartmental requirements for weekly Cancer Conference case presentation to promote multidisciplinary care of patients diagnosed with cancer.
  • Assisting Cancer Registry in updating electronic abstract records of patients to obtain end results information and date. This includes sorting medical reports accurately and efficiently to support the timely recording of pertinent data; accurately posting follow-up data received from various sources in the Oncology software to ensure an acceptable patient follow-up rate as required by the ACoS Commission on Cancer; and entering pertinent treatment information as directed by the Coordinator.
  • Performing ongoing identification of all reportable cases for facility, state and national reporting to document number and sites of diagnosed and/or treated cancers. This includes review of pathology and other transcribed reports is performed at least weekly, query reports, disease indices, treatment department listings, and death certificates are utilized to identify additional reportable cases, and data entry sufficient to meet American College of Surgeons Commission on Cancer suspense list requirements.
  • Covering biweekly Breast Tumor Board meetings starting at 6:45am and weekly Tumor Board meetings starting at 6:30am.

Experience

Position Qualifications

  • Minimum 3 years of progressive clerical experience providing knowledge and experience with coordinating projects required.
  • Experience must also include at least 1 year of experience in a healthcare environment.
  • Experience utilizing Microsoft Word, Excel, PowerPoint, and other office related computer programs required.
  • Preferred experience includes oncology knowledge and experience; research, health information, pathology, or medical office experience; demonstrated proficiency with medical terminology; and experience searching electronic medical record systems for information and coding the appropriate fields in a database.

Education

  • Associate degree in office sciences, business, or related area, preferred.
