File Clerk

Description

We are currently seeking an organized and diligent individual to join our team as a File Clerk in the HR department. The primary role of this position involves managing and maintaining the company’s HR paperwork and records with utmost confidentiality.

Responsibilities

• Accurately file HR documents, including contracts, recruitment paperwork, performance evaluations, employee records, forms, and other related documents.
• Implement efficient and secure procedures for paper and electronic filing systems using tagging and labeling for easy identification and access.
• Regularly check, update, and manage HR databases ensuring all details are accurate and up-to-date.
• Maintain and update the record-keeping system, ensuring uniformity and legal compliance.
• Retrieve files upon request in a timely manner, ensuring only authorized individuals have access.
• Conduct regular audits of HR files for completeness, location, and preventive maintenance.
• Assist in the preparation of HR reports by collecting and collating relevant data.
• Interact effectively with the HR department and other staff, providing filing support as needed
• Perform data-entry tasks and update employee information in the HR system as and when required.
• Completely comply with company policies and regulations regarding the confidentiality of HR records.
  
  

Requirements

• High school diploma or equivalent is mandatory.
• Prior experience in an administrative role or similar position will be preferred.
• Proficiency in using computers, including MS Office Suite.
• Excellent organization and attention-to-detail skills.
• Ability to handle confidential information with the utmost discretion.
• Strong communication and interpersonal skills.
• Understanding of HR operations and legal regulations related to record-keeping is a significant advantage.
