The Operations Specialist will be reporting to the Chief People Officer and will provide high level administrative support to her and her team. The Operations Specialist will handle a wide variety of duties with a high level of professional support and effective prioritization, including email management, drafting presentations, calendar management, travel coordination, managing calls and expenses. The Operations Specialist will demonstrate exceptional communication skills, reliability, attention to detail, and a mindset that no task is insignificant. The Operations Specialist will demonstrate a positive “can-do” attitude, exceptional critical thinking and interpersonal skills, and the ability to embrace working in our dynamic, fast-paced team environment.

This role is required to be on-site 5 days per week.

Essential Responsibilities:

  • Coordinate daily and long-term activities and operations for the Chief People Officer and her team.
  • Screen and coordinate incoming executive communications including phone calls, emails, and visitors for executives. Must be available to take calls throughout the week, and occasionally on the weekends.
  • Prepare all presentations for Department/All-hands and Board of Directors meetings.
  • Prepare and submit expense reports.
  • Manage all aspects of travel logistics from start to finish for Chief People Officer and/or their team, including travel itinerary preparation, booking, and changes as needed.
  • Coordinate and schedule necessary arrangements that include participant travel, lodging, meeting space, and dining.
  • Schedule and provide necessary arrangements for both internal and external meetings and conferences.
  • Proactively manage complex and dynamic calendars, identifying meeting conflicts and rescheduling meetings as appropriate.
  • Assist in the organization and management of Cloud-based files.
  • Maintain confidentiality of highly complex and confidential company materials with sensitivity and discretion.
  • Assist with coordinating events and assisting with set-up and clean-up, as needed.
  • Perform other related assigned duties.
  • Be proactive and anticipate needs to ensure working efficiently.
  • Task-Oriented Support Function.


Education and Experience Requirements:

  • Minimum of at least 8 years of experience providing high level support to C-Suite executives in a fast-paced environment.
  • Prior experience working as an Administrative Assistant in the pharma/biotech Industry is required.
  • Proven proficiency in orchestrating extensive coordination for meetings involving Executives, Recruiters, Candidates, etc.
  • Proven ability to work in a fast-paced, highly visible and dynamic environment is critical.
  • Ability to work effectively with ambiguity and incomplete information, while maintaining a high level of confidentiality and discretion.
  • Mastery of Microsoft Office 365 programs (e.g., PowerPoint, Word, Excel, Teams) and Outlook (calendar management program). Experience with Coupa, Concur, a plus.
  • Exceptional organizational and time management skills with a collaborative, team-oriented mindset with strong verbal and written communication skills.

Hourly Rate: $45.00 to $60.00 per hour, depending on experience
