Position Summary

Performs any combination of following tasks to compile records concerned with ordering, receiving, and shipping materials, inventory, products for resale and expenses. This is achieved by organizing, researching, and vouchering vendor invoices for payment in our ERP system along with other AP duties that ensure payments are made properly and timely. Communication with both internal and external customers, report reading, and analysis are functions of the daily tasks to verify accuracy of quantity and pricing discounts.

Position Requirements

This position requires the incumbent to be flexible and adaptable to the changes that quickly affect this job. The candidate must have exceptional communication skills in order to contact salespeople and management. Must have basic MS Office skills and Excel, more advanced skills a plus for reading and working on data reports. The individual needs to have the willingness to challenge managers and salespeople on pricing and quantity and keep on top of getting answers and issues rectified. Great attention to detail and organizational skills are necessary when investigating anomalies and keeping up with the daily tasks and flow of the position. The candidate must be a reliable, confident, problem solver with the ability to work as part of a team and adhere to strict weekly deadlines along with the ability to make sound business decisions in an ever-changing work environment.

Duties Include

  • Utilizing Excel, reconcile vendor statements and working with vendors to keep our accounts in good standing
  • Field emails and phones calls from vendors
  • Pass out all printed invoices from email inbox to team twice a day
  • Open all US mail and Interoffice mail and distribute each day
  • Voucher expenses (after approvals are received)
  • Weekly check runs
  • Flexibility to be called upon to handle small projects as needed
  • Filing of paid invoices
