The Executive Administrative Assistant is responsible for enabling the success of the President by managing schedules and communication through their exceptional interpersonal and organizational skills, attention to detail, and the ability to handle complex tasks independently and proactively. In this dynamic role, the Executive Administrative Assistant manages multiple priorities in a fast-paced, high-pressure environment while maintaining the utmost professionalism and confidentiality. We are seeking a candidate who excels in well-crafted verbal and written communication, event planning and leading the development of creative projects using technology such as the Microsoft Office suite.

Required Experience: A minimum of 5+ years supporting executive leaders in a Chief of Staff or Executive Administrative Assistance capacity

Key Responsibilities

  • Work directly with the Business Group President to support all aspects of his daily work routine
  • Supervise the Frisco headquarters Receptionist.
  • Maintain executive calendars; scheduling meetings, appointments, travel arrangements, business reviews, customer engagements, webinars, foundation events and company-wide townhalls. Exercise discretion in committing time and evaluating needs
  • Schedule team, foundation and business meetings, assisting in the preparation and distribution of meeting agendas and materials
  • Develop communications and prepare vibrant presentations on behalf of executive leaders
  • Plan and manage events, both for onsite and offsite, within established requirements and approved budget
  • Effectively develop and support travel and meeting itineraries
  • Attend meetings, take and distribute notes and action items
  • Travel as needed to attend offsite meetings and events; less than 10%
  • Determine priority matters of attention, redirecting matters or handling matters personally, as appropriate
  • Keep the President advised of time-sensitive and priority issues, ensuring appropriate follow-up
  • Prepare and submit Concur expense reports for executives
  • Maintain records and files
  • Answer phones for executive team members
  • Take lead on Frisco Headquarter office communication
  • Schedule coverage for receptionist vacations/absences and fill in when needed
  • Partner with Executive Assistants across the organization
  • Order and distribute food for business meetings
  • Assist with set-up and breakdown of meeting rooms
