Essential Job Functions

  • Responsible for providing exceptional customer service to patients, visitors, and One Health Ohio staff.
  • Responsible for handling all calls in a timely and professional manner.
  • Responsible for ensuring that team huddles and all related paperwork, data, and tracking are completed on a daily basis.
  • Responsible for relaying phone messages to the appropriate care Provider in a timely manner
  • Responsible for managing faxes, incoming and outgoing, distributing paperwork to the appropriate staff
  • Responsible for communicable disease reporting
  • Responsible for distributing the mail
  • Responsible for maintaining the Care Source Online Provider profile and completing care management and care treatment plans
  • Responsible for providing assistance with monitoring tracking systems to ensure that results are received and documentation is completed in order to process patient charts. IE: PAP, lab, Cologaurd, Mammo, and referral
  • Responsible for prescription audit reports and storing
  • Responsible for getting prior authorizations for medications
  • Responsible for updating shot records in Impact SIIS and EHR, providing requested shot records and document in PHI
  • Responsible for providing additional diagnosis codes for Quest
  • Responsible for storing huddles and on-call reports
  • Responsible for faxing through NextGen to provide requested records for continuation of care
  • Responsible for maintaining a safe and clean working environment by complying with procedures, rules, and regulations; adhering to infection-control policies and protocols
  • Responsible for assisting other departments to ensure proper workflow process
  • Responsible to perform other duties as requested
  • Functions as general office support in the clinical area and provide good customer service to all customers of ONE Health Systems, Inc.
  • Responsible for ensuring that team huddles and all related paperwork, data, and tracking are completed on daily basis.
  • Handles all phone calls appropriately in a timely manner.
  • Appropriately records phone messages and ensures that the messages are tasked to the correct Provider.
  • Responsible for scanning all Labs into the correct Provider PAQ.
  • Calls in prescription refills under the guidance of the provider.
  • Assists Referral clerks with referrals and PAP tracking.
  • Assists with monitoring tracking systems to ensure that results are received and documentation completed in order to process patient charts. IE: Pap, lab, and referral.
  • Mails out DEPO reminders monthly.
  • Assists front desk with missed appointments that need to be rescheduled and documents in the patients' electronic health record.
  • Works with LPN's to notify patients about indigent medications.
  • Assists other departments such as front desk or when needed.
  • Attends all assigned site meetings.
  • Attends all assigned organizational meetings.
  • Engages in continuous learning by seeking out new information to improve upon existing knowledge base in regards to role in a community health center environment.
  • Remains current on information and technology needed to sustain position.
  • Other duties as assigned.

Other Skills/Abilities

  • Computer skills required along with knowledge of Microsoft Windows and Office.
  • Experience with multi-line telephone and paging system.
  • Must be organized with special attention to detail.
  • Must be able to read, write and follow instructions.
  • Must possess interpersonal skills necessary to effectively interact and promote exceptional service to our patients, families, physicians, fellow employees, and volunteers by displaying attitudes and behaviors that reflect compassion, respect, and dignity to everyone we serve.
  • Travel to other locations may be required. Mileage is reimbursed per policy.

Education and Experience

  • High school diploma or equivalent.
  • Medical Assisting certification preferred.
  • Previous experience in a healthcare environment, basic knowledge of medical terminology, release of information, and medical record maintenance activities and billing activities is preferred.

Physical Requirements

  • Ability to sit in a normal seated position for extended periods of time.
  • Ability to lift/carry up to 25 pounds.
  • Ability to push, pull, carry, lift, bend, twist, reach, sit, stand for lengthy periods of time; ability to walk for extended periods of time.
  • Ability to see within normal parameters.
  • Ability to hear within normal range.
  • Ability to move about.
  • Ability to work in a fast-paced and often high-stress environment as well as the ability to adapt quickly to workload changes.
  • Ability to communicate using spoken word.
  • Ability to deal with inside and outside clientele in a diplomatic and courteous manner while assuring adherence to ONE Health policies/procedures.
  • Ability to remain calm and cheerful under stressful working conditions.
