Job Overview:

The Leasing Project Manager plays a vital role in the timely leasing of multiple properties, managing complex, multi-layered tasks to support leasing and marketing initiatives. This position oversees schedules, tracks tasks, and ensures follow-ups while collaborating with internal teams, property managers, and vendors to meet leasing and occupancy goals. A proactive approach, attention to detail, and the ability to manage multiple projects at various stages are essential for success.

Key Responsibilities:

Project Management & Coordination (approx 70%):

  • Lead the end-to-end leasing infrastructure process for multiple properties, developing and managing detailed project plans and timelines.
  • Regularly coordinate with leasing managers, property managers, contractors, and vendors to keep project tasks on track and meet deadlines.
  • Create and maintain lead and property data in CRM and marketing tools (HubSpot, CallRail) and provide regular performance updates to senior leadership.
  • Prepare competitive market reports and performance summaries to support informed decision-making.
  • Take comprehensive notes during meetings and ensure action items are clearly documented for follow-up.
  • Send weekly update emails to agencies and stakeholders, providing key project and leasing status updates.


Marketing & Digital Content Management (approx 15%):

  • Initiate and manage the request, approval, and delivery of marketing materials.
  • Maintain and update property listings across websites, rental platforms, and social media.
  • Ensure digital marketing assets are accurate and current.


Logistical & Administrative Support (approx 15%):

  • Manage scheduling, meeting coordination, and prepare necessary documents and reports.
  • Handle routine tasks like invoicing, digital filing, and reconciliation of credit cards monthly.
  • Perform monthly phone line checks, maintain a digital library of marketing materials, and oversee follow-up tasks to ensure requests are approved, completed, and installed on schedule.


Requirements:

  • 1-2 years in administrative support, digital marketing, or real estate leasing, with an understanding of property management workflows.
  • Experience with HubSpot, CallRail, Microsoft Office Suite, Google Workspace, and familiarity with digital marketing platforms.
  • Strong organizational skills, attention to detail, excellent written and verbal communication, and the ability to manage and prioritize multiple tasks in a fast-paced environment.
  • A proactive and resourceful individual who can anticipate needs and complete tasks with minimal supervision.
  • Focused on achieving outcomes, with a commitment to follow-through on all tasks and deadlines.
  • Enthusiasm for leasing and property management is a plus.
