Your Role:
As the Administrative Assistant you will be responsible for a wide variety of general office activities as well as more involved document submittals. You will serve as overseer of the office, providing information, answering questions, troubleshooting, and responding to requests. The ideal candidate will be a problem solver who has excellent communication skills and a strong attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. An ability to multitask and meet changing deadlines is essential to the position.
The successful individual will be able to manage themselves and their workload with minimal guidance. The candidate must be able to follow directions and written instructions given by coworkers, show initiative and work well with others as a team as well as the ability to work independently.
Responsibilities:
- Front desk coverage – Greet and direct visitors and delivery personnel, answering and forwarding calls via Teams (minimal), managing incoming/outgoing mail and shipments
- Maintaining a clean and organized office environment including the kitchen/café, contacting building management with any maintenance issues
- MS Word – proofing, formatting, and compilation of letters, reports, and large technical documents
- MS Excel – creating and maintaining spreadsheets, formatting, data entry, sorting, filtering, printing, combining in PDF format
- MS PowerPoint – creating and editing slide content either textual or graphical
- QA/QC – Quality control of all emails, files, and submittals that cross your desk
- Reproduction – management of large print jobs, burning files to CDs
- Records management and document controls per company standards
- Supplies – inventory, ordering, and stocking office and kitchen supplies
- Teams – posting and editing Word documents, PowerPoint presentations, Excel spreadsheets, and sending updates to staff
- Troubleshooting – computer connectivity issues, locating electronic files on the server or the SharePoint Site, requesting help from IT
- TV Displays – connecting and maintaining the content and scheduling of same
- Assist with onboarding of new employees (office space setup with computer equipment, security card, entry fob, name plate creation, etc.)
- Other duties as assigned (i.e., scanning, copying, ordering supplies including preparing requisitions, process invoices, prepare offices, etc.)

Education & Experience:
- High school diploma or equivalency
- Proven administrative experience
- Strong time-management skills and multitasking ability
- Exceptional organizational, communication and interpersonal skills
- Aptitude for learning new software and systems
- Knowledge of Microsoft Word, Excel, Power Point, Outlook, Teams, Adobe Acrobat
- Experience developing internal processes

Language & Communication Skills:
The successful candidate must be fluent in written and spoken English, as adequate for interaction with company staff by phone, internet, and face-to-face. The candidate must be able to converse interactively with project managers and technical staff so as to accept, understand, and follow up with written and verbal instructions. The qualified candidate must be able to edit documents to correct spelling errors and grammar errors.
Other Skills:
Extensive Computer Skills, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.) Adobe Acrobat Professional. Basic mathematical skills.
