Administrative Support Associate I

An Administrative Support Associate is needed to provide high level support to the Leadership Team of the Department of Microbiology, Immunology and Molecular Genetics. The position will be responsible for managing the calendar of the chair, including scheduling meetings with faculty, staff, and learners within and outside the department, prioritizing meetings requests, and resolving scheduling conflicts while maintaining a positive image of Chair and department. This would include logical needs for the meetings. Completes travel arrangements and processes associated expenses for the chair. Serves as liaison with internal and external constituents, answers phones, maintains files, drafts correspondence on behalf of Chair. This position will also work with members of the department to ensure website content is up to date with relative context. Disburses central business office communications. Oversees departmental calendar of scheduled events of weekly meetings (Chalk Talks, Journal Club, Seminars), as well as makes room reservations, sends out calendar reminders and materials. Oversees departmental social engagement activities. Works with guest speakers and recruitment candidates to build itineraries and travel arrangements.
This role will also provide high level, detailed support for the newly established Consortium for Infectious Disease Research, CURE KY at the University of Kentucky. Responsibilities include scheduling meetings and seminars, assistance with meeting agendas, taking minutes. Will build and maintain a website for the consortium, a listserv for the group, and a monthly newsletter. Will serve as main event coordinator of annual Infectious Disease Day. Works with faculty and staff to develop, implement and maintain key project management and spreadsheet software to create and/or maintain timelines and track resource allocation, performance metrics and other project related information such as PowerPoint presentations, organization charts, and other tools. Willing to learn and navigate extramural funding websites to help stimulate collaborations and grant submissions. Assists with grant preparations and submissions.
