Position Summary:
We are seeking a highly organized and detail-oriented Dental Lab Coordinator to join our dental team. This position is crucial in ensuring seamless communication and collaboration between dental providers, patients, and external dental offices. The ideal candidate will excel in time management, problem-solving, and maintaining high-quality standards for patient care.
Responsibilities include but are not limited to:
Lab Case Management
- Track and monitor all lab cases from creation to delivery.
- Coordinate shipments or deliveries of products to internal and external offices on a set schedule based on customer needs.
- Ensure timely communication with dental labs regarding case specifications, adjustments, and deadlines.
- Verify the quality of returned lab cases before they are delivered to patients.
Coordination and Communication
- Serve as the main point of contact between NHOMS/MassOMS oral surgeons, external dental offices, and the NHOMS lab.
- Use HubSpot for tracking dental lab cases, ensuring accurate and timely updates.
- Maintain the dental lab email account, responding to inquiries promptly and ensuring clear communication with labs and team members.
- Ensure all required documentation, impressions, and instructions are provided to the lab for each case.
- Coordinate and send all invoices for products to appropriate parties as outlined in workflows and processes/procedures.
Inventory and Supplies Management
- Place orders for lab supplies on behalf of the team based on their requests.
- Log all supply orders into the budget to maintain accurate expense tracking.
- Regularly review inventory usage to prevent overstocking or shortages.
- Coordinate with vendors to ensure timely delivery and resolve any issues with supply orders.
General Responsibilities

Required Skills & Abilities:
- Proficient in Microsoft Suite
- Strong communication, problem-solving, computer, phone, and analytical skills required.
- Ability to thrive in a dynamic and fast-paced work environment.
- Desire to learn and grow; with an ability to adapt and overcome challenges
- Efficient time-management and prioritization skills.
Experience & Qualifications:
- Previous experience in a dental office or dental lab coordination role preferred.
- Strong organizational and multitasking skills.
- Proficiency in using software tools, such as HubSpot, for case tracking.
- Excellent verbal and written communication skills.
- Ability to work collaboratively with dental teams and external offices.
- Familiarity with dental lab processes, materials, and equipment is a plus.
Compensation & Benefits:
- Pay: $28.00-$32.50 per hour
