Contemporary Staffing Solutions (CSS) is seeking a Document Management Manager to join our client in Fishers, IN! This permanent opportunity offers $80,000-$85,000/year! The Document Management Manager oversees the operations of the Document Management Department, focusing on the movement, monitoring, and processing of post-funding documents and collateral files. This role emphasizes achieving production goals, meeting Service Level Agreements (SLAs), and maintaining high-quality standards while optimizing costs and efficiency. The manager will also lead and develop a cohesive team, handle escalations, and contribute to strategic operational improvements.


Key Responsibilities:

  • Oversee daily departmental operations to ensure compliance with SLAs and production quotas.
  • Address escalation issues and implement effective resolutions.
  • Maintain and enhance department efficiency by monitoring metrics and improving turnaround times.
  • Ensure a strong understanding of mortgage lending practices and document requirements within loan packages.
  • Stay informed about agency guidelines (e.g., Fannie Mae, Freddie Mac, Ginnie Mae) and other investor protocols.
  • Lead and support special projects, preparing necessary reports, presentations, and plans.
  • Conduct analyses and capacity studies to drive organizational efficiency and staff planning.
  • Build and sustain productive relationships with internal and external stakeholders.
  • Oversee staff performance, providing training, mentoring, and conducting evaluations.
  • Analyze operational data, identify trends, and prepare risk and performance reports.
  • Develop and update department policies, procedures, and compliance measures.
  • Collaborate with cross-functional teams to address issues and implement solutions.
  • Maintain adherence to company policies and ensure consistent attendance.
  • This role includes managing a team, encompassing hiring, training, task delegation, performance reviews, and addressing concerns in line with organizational policies.


Qualifications:

  • At least 7 years of experience in the mortgage industry.
  • Proficiency in Microsoft Office Suite, with advanced Excel skills.
  • Strong knowledge of post-funding processes, document custodians, and the mortgage lifecycle.
  • Familiarity with the Mortgage Bankers Association (MBA) standards is a plus.
  • Excellent critical thinking, organizational, and strategic analysis skills.
  • Proven ability to build and manage effective teams.
  • Strong communication skills to work effectively across diverse groups.
