Job Summary

Under the direction of the Practice Surgeon, the surgical intake coordinator provides patient education as well as prepares the surgical candidate for upcoming surgery to include choosing surgical date, ordering preoperative testing (labs, x-ray, EKG), facilitates communication with patient’s medical team, arranges preoperative appointments with specialist(s) to obtain surgical clearance, reviews medications and discusses with surgeon when necessary to advise start/stop dates, gives preoperative instruction regarding day of surgery procedure. Must have clinical experience and knowledge of medical terminology, anatomy and physiology and sufficient understanding of surgical procedures.

Example Of Essential Functions

  • Meets with patients to obtain and review patient’s medical history, (ROS), medications and allergies.
  • Screens patients to determine any contraindications for procedures and notifies physician of any concerns.
  • Screens and recognizes obstacles/conditions that could potentially delay or cancel surgery.
  • Discusses with patient and caregiver necessary details of procedure.
  • Arranges pre-op clearance such as cardiac and pre- op visit with PCP or any other appropriate physician specialty- forwards clearances to PAS – documentation required for anesthesia review.
  • Reviews patient medical history (screen for comorbidities and discusses with physician and anesthesia team if required).
  • Identifies clinical obstacles/conditions that affect surgery date
  • Obtains written and/or verbal orders, CPT/ICD10 codes from surgeon regarding needs for surgical case. Communicates and schedules surgical cases with posting at FHH, FSC and other Ambulatory Surgery Centers.
  • Communicate provider OR block time with FHH/ASC to ensure provider’s surgical and clinical schedule template in EHR accurately reflects provider schedule. Last minute changes will also be communicated in timely manner so changes can be edited in EHR.
  • Communicates edits to Practice Manager or assigned team member
  • Releases block time at FHH/FSC/ASC in timely manner or according to facility policy.
  • Request/coordinate surgical equipment needs w/ surgical reps to ensure all equipment is available for scheduled surgery date and communicates with OR team.
  • Collects necessary CT Scans for review during procedures in accordance with Image Guidance Protocol.
  • Coordinate surgeon’s schedules when two surgeons will be doing a case together. Coordinates first assist if requested.
  • Collaborates / Schedules postoperative follow up care as needed.
  • Obtain from PCP all pre-surgical pre-op paperwork, clearances, medication adjustments. Obtain cardiac, pulmonary or neurology clearances as necessary. Educates patient if medication needs to be discontinued prior to surgery, per surgeon or advising practitioner.
  • Documents all details or arrangements made within the EMR surgical template. Scan in scheduling sheet.
  • Order labs, chest x-rays, COVID-19, EKG, MRSA testing as needed per patient history. Fax surgical center schedules to FSC weekly for all surgeons to ensure schedules are accurate.
  • Ensure required medical supplies are in stock for upcoming in office procedures and relay inventory order requests to Practice Manager. Coordinate pre-medication for patients as appropriate.
  • Confirm physician and patient have signed appropriate consent forms, risk sheets, etc. according to policy. Witness and scan into patient EMR.
  • Obtains pre-authorization, to include verification of coverage, confirmation of benefits and eligibility, and request referrals as necessary. Performs duties in the absence of Authorization Specialist.
  • Communicate to patient estimated deductible, out of pocket expense and financial obligation in the absence of Authorization Specialist.
  • Obtains FMLA, MVA and disability forms from patient and forward to provider for completion.
  • Coordinates both office and OR schedules
  • Posts Surgical Cases or schedules with OR posting team member.
  • Train and mentor new schedulers
  • Updates staff on any surgical facility guidelines to include policies that affect providers ability to perform surgery without delay

Required Knowledge, Skills And Abilities

  • Comprehensive knowledge of Medical Terminology, Clinical Procedures, Anatomy & Physiology, ROS, Pharmacology and surgical procedures
  • Ability to work independently with a professional demeanor with a diverse patient population
  • Strong organization skills and ability to prioritize and manage multiple tasks
  • Well-developed oral/written communication skills
  • Maintain a high level of confidentiality
  • EMR experience helpful, Meditech and Expanse preferred

Minimum Education, Training, And Experience Required

  • 3 years of medical experience as well as experience scheduling complex surgical cases (Prefer Graduate of a Medical or Nursing Assistant Program with certification).

Must demonstrate and maintain current knowledge and skills in providing appropriate care/contact for patients in the following age groups:

  • _X_ Adult (18 years thru 65 years)

Physical Demands

Light Work - Lifting up to 20 pounds on an infrequent basis (less than one lift every three minutes and/or carrying up to 10 pounds, or requiring walking or standing to a significant degree (about six [6] hours a day).

Pay is based on experience, skills and education. If position is part-time, salary will be pro-rated based on scheduled hours. The pay range may also vary within the stated range based on specialty if applicable. Non-Exempt positions may have shift differential and/or Overtime paid, if applicable.

Hourly Range: $18.61-$27.77
