Position Title: Director of Finance & Administration
Status: Full-Time, Exempt
Reports To: Chief Executive Officer
POSITION SUMMARY
The Director of Finance & Administration is a senior leadership role responsible for overseeing all financial operations of the organization, ensuring the accuracy and transparency of financial management, and maintaining solid internal controls. The ideal candidate will possess exceptional financial acumen, a deep understanding of QuickBooks, a commitment to best practices in financial reporting, and a passion for the performing arts. Additionally, this role will require effective collaboration with multiple departments and vendors to ensure smooth and efficient operations.
KEY RESPONSIBILITIES
Finance
- Ensure robust internal controls for accounting, auditing, budgeting, payroll, inventories, and administrative functions.
- Manage the preparation and oversight of daily financial activities, including maintaining financial records, generating statements, and managing payroll.
- Assist with developing operating budgets and forecasts; monitor and report on revenues and expenses in relation to the approved budget.
- Produce accurate monthly financial statements, process accounts payable and receivable, and maintain financial records.
- Oversee compliance with financial/tax reporting requirements for various agencies, including FEMA, the U.S. Department of Education, Iowa Department of Cultural Affairs, and tax credit investors.
- Lead the preparation and maintenance of asset inventories, depreciation schedules, and related records.
- Coordinate the annual audit process, working with auditors to prepare audit reports and ensure timely tax filing.
- Manage all operating leases and contracts (IT services, insurance, maintenance, etc.), ensuring compliance and renewals.
- Reconcile artistic settlement statements for productions and oversee financial reporting for the Orchestra Iowa School, including tuition collection and payroll.
- Create financial performance reports for non-Orchestra Iowa events at the Paramount Theatre and coordinate with show promoters.
Personnel
- Oversee payroll preparation and distribution, ensuring legal compliance.
- Manage federal, state, and local tax filings, ensuring timely submission of required forms.
- Administer employee benefits, including retirement plans, health insurance, and other institutional insurance programs.
- Lead new employee orientation, ensuring smooth onboarding and proper paperwork collection.
Administrative
- Participate in concert duties on a rotating basis.
- Staff the Finance Committee and prepare monthly financial updates.
- Attend and provide financial reports at Board and Executive Committee meetings.
- Perform other duties as assigned by the CEO.
REQUIRED SKILLS AND EXPERIENCE
- Bachelor’s degree in finance or related field required; CPA preferred.
- Minimum of five years of experience in finance or accounting, with a proven track record in financial management.
- Expertise in QuickBooks and Microsoft Office Suite required.
- Strong written and verbal communication skills.
- Exceptional problem-solving abilities and customer service focus.
- Excellent organizational skills with great attention to detail.
- Passion for the performing arts and the mission of Orchestra Iowa.
WORK ENVIRONMENT
- Office hours: 8:30 am – 5:00 pm, Tuesday to Friday.
- Occasional evening and weekend hours required.
SALARY AND BENEFITS
- Salary: $60,000 – $70,000, based on experience.
