Position Summary:

Hillwood Properties is seeking a skilled and motivated Administrative Assistant in North Fort Worth, TX to support the Property Management department. The ideal candidate will demonstrate strong customer service skills, meticulous attention to detail, and excellent organizational abilities. They will possess the ability to multitask effectively, show initiative, and maintain professionalism in a dynamic environment. Additionally, this individual must have outstanding interpersonal and communication skills to interact seamlessly with all levels within the organization and outside of the organization.

Responsibilities:

Administrative Support:

  • Prepare internal and external correspondence, reports, and spreadsheets.
  • Coordinate with consultants to gather and share project information as needed.
  • Screen incoming calls, relay detailed messages, and respond independently when appropriate.
  • Schedule and manage calendars, ensuring efficient time management for team members.
  • Maintain organized office files, both electronic and hard copies, to ensure quick access to information.
  • Prepare and revise PowerPoint presentations for team and client meetings.
  • Coordinate logistics for meetings, including catering and travel arrangements.
  • Maintain up-to-date contact information within Salesforce.
  • Assist with special projects and other administrative duties as assigned.

Financial and Budgeting:

  • Code and process contracts and invoices through the accounting system (Canon).
  • Assist in the preparation of the annual budget, contributing to financial planning and projections.
  • Prepare and process expense reports accurately and in a timely manner.
  • Prepare and follow up on check requests to ensure timely payments.

Reception and Event Support:

  • Provide front desk coverage for morning/afternoon breaks or lunch once a week.
  • Assist with planning and executing company events, ensuring smooth logistics and a positive experience for attendees.

  • Strong sense of responsibility and ability to take initiative.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Experience answering multi-line phones and working with copiers and fax machines.
  • Ability to work in-office full-time.

Education and Experience:

  • Minimum 3 years of administrative experience in a professional environment required
  • High school diploma required; Bachelor’s degree preferred
  • Experience with Box and Salesforce preferred.
  • Real Estate, Construction or related industry experience strongly preferred.
