Position Summary:
The Fleet and Facilities Manager is responsible for overseeing the efficient operation and maintenance of company assets and facilities while leading the shop team to foster a culture of safety, accountability, and continuous improvement. This role ensures optimal performance and safety of all fleet assets while maintaining high standards for facilities management. The manager will coordinate schedules, maintenance, compliance, and overall operations to support organizational goals.
Key Accountabilities:
- Ensure operational efficiency of company owned vehicles, equipment & facilities
- Develop and implement preventive maintenance schedules for both fleet and facilities
- Coordinate with internal teams and external vendors for repairs, maintenance, and procurement needs
- Ensure all fleet vehicles and facilities meet safety standards and comply with local, state, and federal regulations
- Lead, train, hire and manage the shop team including mechanics and assistant mechanics
- Expand the shop safety program, ensuring compliance with all regulatory requirements, safety standards, and company policies
- Oversee, monitor and control budgets related to fleet and facility operations and participate in the acquisition process of new additions to the fleet
Regular Execution:
Daily:
- Monitor fleet usage and operational status.
- Oversee routine facility inspections for cleanliness and safety.
- Address immediate maintenance and repair needs for vehicles and facilities.
- Respond to and resolve operational issues promptly.
- Oversee the inspection and safety of the yard including physical security measures to safeguard the yard, trucks and equipment and prevent theft/vandalism
Weekly:
- Review and analyze fleet performance metrics.
- Conduct in-depth facility checks to identify potential issues.
- Coordinate with staff and vendors for scheduled maintenance and services.
- Hold team meetings to address ongoing operations and upcoming priorities.
Monthly:
- Prepare reports with recommendations on fleet utilization, maintenance activities, asset trackers, costs, facility operations, and safety.
- Review budget performance and identify areas for cost savings.
- Conduct training sessions for staff on safety and operational best practices.
- Evaluate vendor contracts and performance for services related to fleet and facilities.
Ongoing:
- Develop and update policies for fleet and facility management.
- Maintain records for inspections, repairs, and compliance.
- Identify and implement process improvements for operations.
- Lead initiatives for sustainability and energy efficiency.
- Manage vehicle licensure and registration.
- Collaborate with the fabrication team to design, modify, and repair equipment tailored to the specific needs of the tree service industry.
- Manage shop and facility initiatives as identified by ownership and the leadership team
Required Outputs:

Technical Knowledge, Experience, and Skills:
- Proven experience in fleet and facilities management or a related field.
- Strong knowledge of vehicle maintenance, facility operations, and regulatory requirements.
- Proficiency in fleet management software and facility management tools.
- Excellent organizational, problem-solving, and communication skills.
- Ability to manage budgets and negotiate vendor contracts.
- Strong knowledge of WA/OSHA safety regulations

Job Requirements:
- Bachelor’s degree or equivalent experience in business administration, facilities management, or a related field (preferred).
- 5+ years of experience in fleet and facilities management.
- Valid driver’s license and clean driving record.
- Strong leadership and team management skills.
- Availability to respond to emergencies outside of regular working hours.
Compensation and Benefits:
- 65k-75k/year DOE
