- Partners with the leadership team to understand and execute the organization’s human resource and talent strategy particularly as it relates to current and future talent needs, recruiting, retention and succession planning.
- Employee Relations - Provides support and guidance to Management and other staff when complex, specialized and sensitive questions and issues arise; may be required to administer and execute routine tasks in delicate circumstances such as providing reasonable accommodations, investigating allegations of wrongdoing and termination.
- Assist managers in recruiting and hiring process, including ad placement, job postings, applicant tracking, screening applicants, and pre-employment screening such as background checks, drug testing and running MVRs.
- Prepare new hire packets, do face to face new hire orientations, Collect I-9 paperwork, W-4’s and all and any paperwork needed for our ADP payroll system and in compliance with the law.
- Enter all new hires into the ADP payroll system.
- Responsible for setting up new employees in the various software systems, such as CDK, Dealertrack, NNA.net, VinSolutions and setting up their email through Google.
- Track all vacation time, pay increases, employee transfers for all 5 dealership employees.
- Enter time adjustments for all 5 dealership employees, including training, vacation, sick and employees not clocking in or out.
- Handle all Worker’s Compensation claims, submitting documentation, collecting statements, preparing drug test forms, wage statements and any and all other documents needed for the claim.
- In charge of documentation for FMLA leave, tracking dates, collecting the paperwork and staying in contact with the employee
- Handle all the TWC claims, appeals, documentation and verification of wages
- In charge of the yearly open enrollment process for Benefits. Submit our employee census, and work closely with the insurance broker to review insurance plans and give the best cost-effective plans to the employees. Set up enrollment dates and meetings to distribute our new insurance plans and collect all the information from the employees and then enter all the employee elections into in the ADP payroll system.
- Responsible for organizing throughout the year small insurance enrollment meetings for new hires so that we stay in compliance with offering insurance within a 90-day period of a newly hired employee
- Develop, implement and administer all the company’s policies, processes and procedures.
- Assist with 401k audits done yearly.
- In charge of Child Support paperwork, entering the deduction in the ADP payroll system and if it is a Medical Support, working with the insurance broker on filling out the paperwork and enrolling the dependents for coverage.
- Maintain the 1095-C spreadsheet for all 5 dealerships throughout the year to enter all new hires and all terminations and if the employee elected insurance coverage or declined it, so that at the end of the year, submit it to the IRS before the deadline, without penalties.
- Handle employee complaints, grievances and disputes. Demonstrate leadership by proactively solving employee issues, disciplining, write ups and terminations as needed.
- Maintenance, security and organization of all employee personnel files.
- Payroll Administration for Weekly employees.
- Administer Cobra through WageWorks to keep in compliance with the law.
- Review all the invoices for medical, dental, vision, basic life and Aflac to ensure that terminated employees are removed and credits are given if applicable.
- Terminating all the terminated employee benefits for medical, dental vision, basic life and all Aflac policies.
- Minimum 4 years of experience in Human Resources as a generalist or in a specialist position is required.
- Advanced computer skills. CDK is a plus.
- Payroll Experience with ADP is preferred but not required.
- Demonstrate the ability to keep confidential and sensitive information confidential and secure.
- Working knowledge of multiple human resource disciplines including compensation practices, organization diagnosis, employee and union relations, diversity, performance management, federal and state respective employment laws.
- Excellent consulting and coaching skills and business literacy skills.
- Strong conflict management skills; strong interpersonal and negotiation skills.
- Demonstrates ability to efficiently organize work and maintain a high level of accuracy.
- Excellent verbal and written communication skills.
- Able to balance multiple priorities in a fast-paced environment.
- Desire to grow professionally and learn new skills as needed
