OverviewRutgers University Behavioral Health Care (UBHC), established in 1971, offers a full continuum of evidence-based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC’s 1,060 experienced professionals are dedicated to treatment, prevention, and education. Services include inpatient, outpatient, partial hospitalization, and more. In FY2016, UBHC treated 16,199 consumers and delivered 16,000 trainings each year.
Posting SummaryRutgers, The State University of New Jersey is seeking a Secretary III for the Essex Children’s Mobile Response Department within Rutgers University Behavioral Health Care. The primary purpose of the Secretary III is to provide secretarial general office services for the UBHC Unit.
- Completes a variety of internal paperwork for the department, including travel and mileage reimbursement forms, general stores requests, check requests, and clinical data/reports.
- Assists in the maintenance of appropriate log sheets, databases, and records needed for the efficient operation of Unit.
- Handles internal and external mail for Unit.
- Assists the supervisor with the registration process for all new and returning clients.
- Assists the supervisor in the submission of billing for the services of the CMRSS program.
- Assists the supervisor in the review of clinical records being submitted to the UBHC Clinical Records Department.
- Keeps accurate minutes for all staff meetings and group supervisions and stores a typewritten copy of the minutes on CMRSS’s and the Acute Management Supervisor’s share drives.
- Handles Unit’s telephone calls in a professional, thorough, and helpful manner.
- Maintains accurate filing system to meet the needs of the Unit.
- Serves as a liaison between Unit, internal, and external agencies.
Position Status Full Time
Work Arrangement This position may be eligible for a hybrid work arrangement, subject to approval.

Qualifications
Minimum Education and Experience- Graduation from an accredited program in secretarial studies plus two (2) years of full-time secretarial experience. An additional year of experience is required in lieu of the secretarial program.
- College credits may be substituted on a year-for-year basis for secretarial experience.
- Experience with Microsoft Office package (Word and Excel).
WORK ENVIRONMENT: Busy office with staff and consumer contact, frequent telephone calls, and exposure to infectious diseases.

If employment commences during Flu Season, Rutgers University may require proof of vaccination against Seasonal Influenza unless exempted for medical or religious reasons.
